Maternity cover position for 10 - 12 months.
SUMMARY
Responds to first level enquiries relating to UK policy and procedures, provides advice and guidance. Implements and maintains human resources programs and policies all Human Resources end-to-end, new hire through to termination. Compensation and benefits administration, immigration, ex-pats, visas and work permits, co-ordination of training programs, conducting new hire orientations, new hire and leaver documentation, some project work. Responsible for local training co-ordination.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.
1. First point of contact directing employees and managers to relevant information/procedures where required.
2. Responsible for all new starter processes, including documentation, HRIS actions, co-ordination of employee orientation day and delivery of employee orientation.
3. Workday maintenance for accurate records on all employee transactions. Responsible for testing new functionality as required.
4. Ensure all new starters are enrolled into local benefit programmes prior to start date.
5. Prepare employee leaving documentation.
6. Answer and redirect questions relating to employee benefits where appropriate. Build good working relationships with external providers. Reconciliation of invoices.
7. Support where required on Global HR projects and initiatives.
8. Work with the global talent mobility team and provide support on international assignments, visas, and work permits. Accurate completion of right to work checks in all 6 countries other responsibilities include gathering data, following up on processes, drafting support letters, updating local databases, managing assignment dates and record keeping.
9. Co-ordinate local training programs. Learning Management System (ACE) superuser coordinating all training activities. Ensuring room bookings/appropriate equipment available, liaising with trainer and follow up with participants. Update systems following delivery, monitor registrations, design internal promotion communications, and run reports.
10. Coordination of all monthly payroll changes for the UK and ensure that all forms and HRIS instructions are submitted correctly and in a timely manner, in accordance with Payroll cut off dates. Ensuring that relevant letters are drafted and signed by the employee and filed in a timely manner.
11. Drafting offer letters, contracts, variation to contract letters and ensuring these are signed and returned in a timely manner.
12. Drafting the leaver letters where required.
Administration:
1. UK point of contact for HRIS (Workday), maintains UK HRIS data and carries out reporting.
2. Preparing all letters required by employees – ex: certificate of employment, reference letters, employment statements.
3. Enter all the data for Dutch administration questionnaires online.
4. Administration, logging, filing and follow up around the MPOWER process (appraisals) and associated promotions, merit reviews, and compensation plans across EMEA.
5. Responsible for overseeing the probationary period of all new hires in UK Sending out paperwork to managers and ensuring that it is completed in a timely manner. Producing relevant confirmation/extension letters.
6. Provide employee relations administrative support, taking meeting minutes and ensuring that these are accurately typed up in a timely manner.
EDUCATION/EXPERIENCE
1. Fluent in English (German would be an advantage)
2. HR/relevant qualification or work experience
3. Workday experience preferable.
4. Numeracy, ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
5. Experience of working with payroll data and have had experience of processing payroll transactions such as new hires, leavers, salary changes etc.
6. To perform this role successfully candidates must have a strong attention to detail and be able to accurately input data into HR systems. They must be able to review and check spreadsheets of data and highlight corrections and errors.
7. Proficient user of MS Office suite – MS Excel, PowerPoint
8. Able to multi-task and prioritize tasks and manage their time efficiently.
9. Confidential and able to handle sensitive data.
