Job Overview
To provide Information Governance and Records Management administrative support to the Information Governance and Records Management Department, including:
1. Processing access to health records requests.
2. Assisting with Freedom of Information Act requests.
3. Delivering a responsive and efficient service while maintaining proper standards of security, confidentiality, and storage of health records.
4. Retrieving, filing, tracking, and archiving health records using electronic tracking systems.
5. Ensuring compliance with Data Protection Legislation, the Access to Health Records Act 1990, and Information Governance standards.
Main Duties of the Job
Responsible for processing all associated documentation regarding appropriateness of requests, consents, and identification checks. This includes:
1. Photocopying and dealing with sensitive information, ensuring that processes are consistent, transparent, and legally compliant.
2. Assisting clinical services in processing access to health records requests by identifying correct records and performing a first screening for third-party information.
3. Assisting with Freedom of Information Act requests by acknowledging and logging requests.
4. Adhering to all policies and procedures to ensure the confidentiality and security of patient data.

Person Specification
Qualifications
* Educated to GCSE standard or equivalent.
* NVQ Level III in Administration or equivalent work experience.
* Information Governance and/or Records Management qualification or relevant experience.
Knowledge and Expertise
* Advanced level of computer literacy including Microsoft Office.
* Knowledge of legislation and best practice requirements of Information Governance including Data Protection and Freedom of Information.
* Good understanding of NHS Protocols and Standards for Information Governance.
Experience
* Proven administrative ability and organisational skills, preferably in a health setting.
* Experience of working with specialist information systems.
* Experience in an Information Governance focused role.
