The Placement Testing Coordinator is responsible for coordinating all testing scheduled in the AAS Calendar for NSW, ensuring the smooth and efficient execution of testing processes. This role also includes overseeing staff performance, addressing any issues, and contributing to the development of project documentation and operational processes. In addition, the Coordinator will focus on optimising team training, reducing operational costs, improving communication with both staff and clients, and driving continuous excellence in service quality.
Duties & Responsibilities :
* Organise and manage all testing scheduled in the AAS Calendar for NSW, ensuring that all logistics, materials, staffing, and resources are prepared in advance for each testing event.
* Provide exceptional client service, offering assistance to school staff and other stakeholders in a professional and timely manner.
* Oversee the performance of staff, providing guidance, feedback, and support to ensure consistent service delivery.
* Address performance issues and implement corrective actions to maintain high standards of service.
* Liaise with key stakeholders to develop and refine project documentation and operational processes.
* Streamline team training programs, focusing on efficiency, cost reduction, and improving staff competency.
* Utilise a variety of software applications, including Microsoft Word, Excel, and other administrative tools, to support organisational needs.
* Manage shared databases, ensuring accurate data entry, timely updates, and data integrity.
* Respond to telephone and email enquiries related to data and testing schedules from schools.
* Publish final data reports and communicate results to appropriate school personnel.
* Perform other administrative tasks as needed.
Performance Goals & Key Performance Indicators :
* Ensure that all testing as per the AAS Calendar for NSW are prepared in advance of testing day.
* Monitor staff engagement and costs, implementing cost reduction & engagement exercises where necessary.
* Manage performance of casual staff where necessary.
* Work with the Exam Events Manager to ensure that all operations and processes adhere to customer, Janison and AAS standards.
* Maintain AAS client service standards and monitor to eliminate risks.
Experience, Skills & Qualifications :
* Relevant qualifications and/or a minimum of 2 years’ experience in a similar role.
* Advanced skills and experience in Microsoft Office suite, including Word, Excel, and Access.
* High level verbal and written communication skills with demonstrated attention to detail.
* Excellent organisational skills with successful experience in meeting strict deadlines and handling multiple projects simultaneously.
* Ability to effectively interact with people from a range of backgrounds and levels.
* Ability to work as part of a team or independently and accept a high level of responsibility.
* Ability to deal with complex situations and demonstrate strong critical thinking skills.
* Proficiency in utilising data to assess process effectiveness and make informed decisions.
* Practical experience in engaging and managing large volumes of casual staff.
* Practical experience in large scale testing projects.
