Admin Project Assistant

Job Summary
We are seeking a Mandarin-speaking, highly organised individual with excellent communication skills and a consistently positive attitude to join our team as an Admin Project Assistant. The successful candidate will support the Project Manager in ensuring the successful delivery of a key project.
This role requires a professional and proactive approach, with a strong attention to detail and a solid understanding of administrative processes. The ideal candidate will be well-prepared, responsive, and capable of taking ownership of tasks. Strong team-working skills are essential, as is proficiency in common software such as Microsoft Excel, PowerPoint, and Word. A high standard of written and spoken English is also required. Most importantly, the candidate should demonstrate a genuine commitment to supporting the needs of the wider project team.
Key Responsibilities
* Organise and coordinate meetings, including scheduling, preparing agendas, and recording minutes
* Support the relocation process to ensure minimal disruption to daily operations
* Assist the Project Manager in tracking actions and ensuring timely completion
* Help prepare monthly project reports detailing status updates, delays, and key milestones
* Maintain accurate and timely records of all documentation
* Undertake other administrative duties as required
* Assist the Procurement Manager with supplier selection tasks, including:
* Prioritising and reviewing purchase requests, clarifying requirements with requestors
* Coordinating with business units to define supplier selection strategies
* Implementing the approved strategy and making final procurement decisions
* Placing orders, ensuring timely delivery, and resolving urgent delivery issues
* Support supplier qualification processes by:
* Liaising with potential suppliers to collect relevant information
* Coordinating supplier agreement negotiations
* Assessing supplier certifications and reporting findings to the Procurement Manager
Requirements
* Fluent in Mandarin and English (written and spoken)
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
* Strong team player with the ability to work in an international environment
* Results-oriented and well-organised, with a structured approach to work
* Excellent communication skills
