POSITION SUMMARY
This position provides front-line support to the Emergency Psychiatric Unit by facilitating the communication between staff, patients and other facilities. The incumbent ensures all related duties and responsibilities adhere to the policies and procedures of the hospital.
QUALIFICATIONS
• Completion of a 2-year post-secondary program in medical office administration
• Intermediate skill level is required for MS Word, Excel, PowerPoint and Access
• Intermediate skill level is required for spelling, medical spelling and medical terminology
• Typing speed must be at an intermediate skill level.
• Proficiency in specialized computer applications: MS Word, MS PowerPoint, MS Excel, MS Access, E-Learning, Res-Q-Or, Criticall, and Internet/Intranet searches.
• Two (2) years related experience working within a busy Mental Health Care service providing administrative support.
• Ability to communicate in a sensitive and non-judgmental manner with patients
• Excellent organizational and problem-solving skills, with the ability to set priorities and work with minimal supervision.
• Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions.
• Excellent verbal and written communication skills are required.
• Good work performance and a good attendance record are essential
RESPONSIBILITIES
Some duties include the following:
• Admits, transfers and discharges patients, entering all pertinent patient information into the hospital patient processing information system
• Provides administrative support for the Clinical Manager
• Assembles patient charts, files all relevant documentation accordingly, and dismantles charts for discharged patients
• Maintains statistics on numbers, referral sources, patient assessments, legal status and discharge summaries, generating reports as required
• Provides administrative support in typing routine correspondence, filing, sorting/distributing mail, faxing, photocopying and arranging meetings
• Maintains current departmental lists, program documents, call-in sheets, assignment sheets, staff education manuals, and the status of pre-grad licenses and re-certifications
• Assists with staffing and scheduling details, including staffing sick calls
• Participates in arranging interviews, reference checks and the orientation process for new staff members
• Ensures office supplies and equipment required by the manager nd unit are adequately stocked and ordered in a timely manner
• Meets deadlines in assisting with special projects, surveys, preparing a variety of reports and arranging ad hoc meetings
• Remains alert regarding client activity and ensures work area is maintained in a safe, organized and presentable way at all times
• Assists with other unit activities as delegated by the Nurse Manager
• Performs other activities as assigned by the Manager
WAGE RATE
Hourly: $29.75 ... $31.04 ... $32.30
