Job Responsibilities:
* Reviewing and updating departmental operating procedures
* Ensuring the confidentiality of sensitive information and documents
* Ensuring the security, accessibility, and proper distribution of organizational documents, and maintaining audit trails for office documents
* Working with IT to ensure the smooth operation of digital tools
* Ensuring procedures for access approval and access control
* Supporting project teams in the control of information exchange
* Identifying best-practice forms of document control and establishing systems for project team
* Managing the flow of incoming and outgoing project information
* Maintaining document registers, transmittals, logs, etc.
* Ensuring standards are followed for the naming/numbering of project documents
* Issuance of project documentation
* Monitoring of information-sharing applications
* Ensuring compliance with the ISO: 9001 quality management systems (QMS), especially with regards data stored on servers, personal drives and Project Website (PWS)
* Liaise with UK QA lead to understand how the drives should be structured for both projects and proposals in order to align with approved ISO 9001 structure
* Review current structure of drives to identify where it differs from approved ISO 9001 structure and how to rectify it (both retrospectively and for any new projects/proposals
* Review how staff are using data storage locations other than the main server drive (e.g. laptop C-Drive, personal drives, shared drives, OneDrive, SharePoint, etc) to identify reasons for staff using these alternate locations, rather than saving everything on a shared central repository, and then suggest a more efficient approach going forward
* Ensuring compliance with GDPR regulations, especially with regards Data Retention
* Review the servers to identify what personal data is being stored there in contravention of GDPR Data Retention Schedule
* Meeting with management to update and inform them of the documentation schedule, standards compliance, and documentation progression.
Qualifications
* Experience working with different IT applications (e.g. Autodesk CAD, InDesign, etc.
* Familiarity with project management standards and processes
* Architecture/Engineering industry consultancy experience
* International projects experience.
