Job Description: We are currently seeking a dedicated and experienced Office Manager to join our team on a full-time flexible hours basis (between 8am – 5pm Monday to Friday).
As the Office Manager, you will play a pivotal role in ensuring the smooth operation of our office admin functions.
The successful candidate will be working remotely from home initially.
Three-month probationary period.
Responsibilities:
* General Office Management: First point of contact. Handle day-to-day office operations, including managing office supplies, coordinating meetings and appointments, and responding to enquiries from clients and staff.
* Team Support: Provide administrative support to the management team and assist with special projects as assigned.
* Report Writing: Prepare accurate and comprehensive reports on various office-related matters, including project updates, financial summaries, and performance metrics.
* Invoicing: Manage the invoicing process efficiently, ensuring timely and accurate billing for services rendered to clients. Coordinate with the finance team to reconcile accounts and resolve any discrepancies.
* Technician Compliance Records: Maintain detailed records of technician compliance, including certifications, training records, and licenses. Ensure all technicians meet regulatory requirements and company standards.
* Company Accreditations: Oversee the accreditation process and ensure compliance with industry standards and certifications. Keep abreast of any changes in accreditation requirements and facilitate the renewal process as needed.
Requirements:
* Proven experience as an Office Manager or similar administrative role.
* Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.
* Excellent written and verbal communication skills.
* Proficiency in MacOS, Microsoft Office Suite (Word, Excel, Outlook).
* Attention to detail and high level of accuracy.
* Ability to work independently and on own initiative and to prioritise a diverse workload but also able to work as part of a team collaboratively in a fast-paced environment.
* Knowledge of health and safety regulations and compliance standards is advantageous but not essential.
