Role Overview
The Junior Bid Manager will play a vital role in supporting the Bid Manager in the efficient management of Request for Information (RFI), Request for Proposal (RFP), and Tender responses. This position will also involve maintaining and updating the database of standard responses to frequently asked questions (FAQs), information security, and product-related inquiries. The successful candidate will work closely with various stakeholders within the organisation to ensure timely and accurate completion of bids while maintaining the highest standards of quality.
Responsibilities
* Collaborate with the Bid Manager to prepare and submit RFI, RFP, and Tender responses, ensuring all deadlines and requirements are met.
* Conduct research to gather relevant information and data to support bid responses.
* Assist in coordinating and organising bid-related activities, including gathering input from subject matter experts, drafting responses, and reviewing bid documents for accuracy and compliance.
* Maintain an up-to-date database of standard responses to commonly asked questions, information security, and product inquiries to streamline the bid response process.
* Work closely with internal teams, such as Sales, Product Development, and Legal, to gather necessary information and insights for bids.
* Support the Bid Manager in identifying and mitigating potential risks and issues related to bid submissions.
* Collaborate with cross-functional teams to ensure the bid process aligns with company objectives, values, and compliance standards.
* Monitor industry trends, market developments, and competitor activities to enhance bid strategies and maintain a competitive edge.
* Maintain accurate records and documentation of bid-related activities, including proposal versions, client feedback, and lessons learned for continuous improvement.
* Carry out win/loss calls.
What are we looking for?
* Proven experience in bid management, proposal writing, or a similar role, working on large complex and global bids.
* Experience working in B2B SaaS.
* Strong organisational skills with a track record of managing multiple deadlines and priorities effectively.
* Excellent written and verbal communication skills, with a keen attention to detail.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other bid management tools.
* Strong research and analytical skills to gather relevant information and data for bid responses.
* Ability to engage with stakeholders at all levels.
* Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
Nice to have:
* Familiarity with CRM systems and document management software.
* Experience using Adobe suite (InDesign, Illustrator, Photoshop).
* Previous experience working within HR tech/Employee Benefits.
