An excellent opportunity has arisen for a PA / Office Manager to join our Housing Partnerships team in Birmingham.
The purpose of the role is to work closely with and provide full administrative / secretarial support to the Regional Director. The role also includes oversight of the running of the Birmingham office.
As PA / Office Manager, you will also work closely with the Senior Management Team, including attendance at SMT meetings and related events.
What you’ll do:
1. Act on behalf of the Regional Director maintaining a high standard of communication, providing prompt response and appropriate action.
2. Provide executive assistant and secretarial support, including the preparation and typing of letters, minutes, reports, memos, speeches etc., also updating spreadsheets/databases.
3. Manage and maintain the Regional Director’s calendar, including arranging meetings/seminars/training events (both internal and external) as and when required.
4. Establish and maintain company departmental and office systems where appropriate.
5. Screen phone calls/visitors to meet with the availability/demands of the Regional Director’s workload.
6. Liaise with professional contacts at all levels on behalf of the Regional Director.
7. Book/organise meeting rooms, accommodation and travel when requested.
8. Manage the administrative team (where applicable).
9. Filter and file emails, highlight urgent correspondence and print emails/attachments as required.
10. Provide office inductions for all staff.
11. Manage all aspects of the running of the Birmingham office e.g. service contracts, stationery, cleaning etc.

6. Ability to prioritise and manage own workload amid conflicting demands and busy work periods.
7. Ability to delegate and coordinate.

13. Experience in a similar PA role.
14. High standard of general education.
15. Relevant secretarial qualification or proven experience (equivalent to Diploma level).
