Overview of this job:
Customer
* To ensure the damaged vehicle is professionally, accurately and quickly assessed in an empathetic manner.
* To prepare competitive estimates and secure authorisation for work thereby contributing to the achievement of departmental sales targets.
Profit
* To prepare accurate estimates and subsequent invoices, including all required parts and repair work to minimise leakage thereby protecting departmental profitability.
Quality
* To ensure that each opportunity is taken to continuously improve the working methods and standards.

* Conversion of estimates carried out.
* Discrepancies on insurance payout against estimate.
Specific tasks:
This job holder must be able to:
Business Generation
* Complies with a planned schedule of appointments according to the list of estimates required, provided by the Bodyshop Receptionist.
* Meets with the customer, qualifies the nature of the accident and inspects the vehicle carefully to assess damage, identifying damage related directly to the accident separately from indirect or non-related damage.
* Produces then submits evidence for insurer (written, digital photographs, video etc.).
* Obtains authorisation to commence work before passing through for completion.
* Lists all parts necessary to return the vehicle to its pre-accident condition.
* Produces a report giving the vehicle and accident details and a schedule of work, including subsequent non-bodyshop operations such as resetting the airbag or affixing specialist stripes.
* Informs the customer of procedure to progress repair.
* Follows up customers who have received estimates but not yet booked work in.
Administration
* Inputs the details and photographs into the computer, using the relevant software, e.g. Audatex, as well as photo processing software.
* Downloads the details and photographs to the insurer, including all insurer specific requirements, e.g. courtesy car requirements, oils and lubricants to use etc.
* Liases with reception to arrange the customers booking once authorisation is received.
* Updates the estimate once the vehicle is stripped by the Vehicle Body Repair Technician if required, gaining additional authorisation, then invoices the work completed.
* Ensures accurate and timely completion of all bodyshop related documentation.
* Must supply manufacturers / escribe methods with each job pack.
General
* Complies with all Health and Safety legislation, including COSHH to ensure safety and well-being of self, colleagues, customers and visitors.
* Ensures the maintenance of all equipment and other materials.
* Maintains personal awareness of the company’s quality procedures described in the company’s Quality Management System.
* Completes any other appropriate bodyshop activities as specified by the Bodyshop Manager.
Knowledge and skills required:
This job holder must have knowledge of:
* Automotive systems (e.g. basic vehicle layout, function and location of parts).
* Parts requirements to complete job, the ability to communicate parts requirements via repair orders.
* Awareness of the Networks and understanding of the brands.
* Detailed knowledge of insurers specific requirements and policies.
* Understanding of repair methods, parts and costs.
* The fundamentals and their impact on this role.
* COSHH legislation and trade practices.
* In-house computer systems (e.g. Glass evaluator, Audatex, Photo processing software, Escribe, ADP and outlook).
* Manufacturer standards and objectives. Retail facility and personal objectives, both cultural and financial.
* The retail facility organisational structure.
* Warranties and repair.
And be able to:
* Pay attention to detail, ensuring documentation is clear and legible.
* Work with external customers, internal colleagues and insurers.
* Work both in a team and individually, manage own time, work in a busy, and active environment.
* Demonstrate a professional appearance and enthusiastic attitude.
