Full-time (40 hours/week) or Part-time (minimum 30 hours/week over 4 or 5 days; we are happy to tailor a shift pattern for the right candidate), including 1 in 4 Saturday mornings.
Salary: £40,000–£42,000 per annum pro rata.
Pawvet Clinic is an independent veterinary practice providing expert care for pets in Muswell Hill London. Operating from our modern facility, we take pride in delivering exceptional services to our clients and their beloved animals.
We are looking for a full-time or part-time Practice Administrator to join our dedicated and friendly team. As our practice continues to grow, you'll play a pivotal role in ensuring the smooth day-to-day running of the clinic, supporting both our clinical and non-clinical staff. You will work closely with a team that includes veterinarians, registered veterinary nurses, and administrative staff.
Key Responsibilities
* Regulatory Compliance: Ensure health and safety, perform weekly fire safety checks, and organize inspections (e.g., VMD, RPA, fire risk assessments).
* Financial Management: Manage bookkeeping, financial reporting, and insurance claims while serving as the lead point of contact for insurance queries.
* Operations Management: Oversee practice developments, premises maintenance, and stock ordering.
* Client Care: Assist with reception duties, coordinate referral appointments, and monitor client services, including communication improvements.
* Events & Marketing: Organize open days, CPD events, practice tours, and manage social media and marketing initiatives.
* Team Support: Line-manage the non-clinical team, conduct 1:1 reviews, and oversee recruitment, retention, and team-building activities.
* Administrative Support: Organize team meetings, minute-taking, and support the Director with additional administrative tasks.
* Community Engagement: Lead charitable and community initiatives to strengthen the practice's connection with the local area.
* Profitability: Identify opportunities to improve practice efficiency and profitability.
About You
We’re looking for a proactive, highly organized individual with:
* Experience in the veterinary industry (preferred but not essential).
* Strong HR and business administration skills.
* Excellent IT and communication skills.
* A keen eye for detail and exceptional customer service abilities.
* A good understanding of pet insurance processes.
Desirable Skills
While not essential, it would be beneficial if you have:
* An interest in taking on additional management responsibilities as the clinic grows.
* Experience with team performance management and developing standard operating procedures (SOPs).
You’ll work closely with our senior clinical staff and practice Director to ensure our clinic provides outstanding care for clients and their pets while fostering a positive and efficient workplace environment.
