Job Title: Project Support Officer
Department: Central Services
Reporting to: CEO
Work Location: Hybrid remote in Bicester OX26 3HA
Schedule: Monday to Friday
Salary Range: £28,000 - £32,000 (depending on experience)
Role Purpose
The Project Support Officer (PSO) plays a critical role in ensuring the successful delivery of projects across various federations and departments. This role provides proactive support, coordination and communication to ensure seamless project implementation.
Key Responsibilities
1. Project Documentation & Reporting: Prepare and manage project documentation, including project plans, schedules, and status reports. Ensures stakeholders remain informed, improving transparency and reducing confusion.
2. Communication: Act as the central point for all project communications, hosting meetings to provide updates on progress, issues, and risks. Strengthens collaboration between teams and stakeholders, ensuring alignment and efficient problem resolution.
3. Project Planning & Coordination: Support project-related meetings by preparing agendas, leading discussions, documenting action points, and following up on tasks. This will enhance workflow efficiency and ensure deliverables are met on time. Identify and mitigate project-related risks in collaboration with senior management, reducing potential disruptions and ensuring adherence to timelines.
4. Stakeholder Mapping & Management: Foster strong relationships and facilitate effective communication with stakeholders, increasing stakeholder buy-in and cooperation, leading to smoother project execution.
5. Meeting Coordination & Minute Taking: Organise and coordinate cross-functional meetings, prepare agendas, take minutes, and track action points. Enhances decision-making, accountability, and project momentum.
6. Administrative Support: Maintain filing systems and ensure compliance with project documentation standards, supporting smooth project operations while ensuring regulatory compliance.
7. Budget & Resource Monitoring: Track project budget and resource allocation to ensure efficient use of funds, preventing cost overruns and maximising resource efficiency.
Qualifications
• Experience in project management methodologies and tools such as Microsoft Project.
• Knowledge of the healthcare/primary care sector.
• Previous experience as a Project Support Officer within the healthcare industry (preferably in primary care).
• Strong communication skills, including report writing and minute-taking.
• Planning & organisation skills to oversee detailed project plans.
• Problem-solving ability to identify and address project risks.
• Stakeholder management expertise to foster effective relationships.
• Attention to detail to ensure accuracy in documentation.
• Time management skills to prioritise tasks in a fast-paced environment.
