Job purpose
The Human Resources (HR) Representative is the first point of contact for visitors and callers, ensuring a professional and welcoming environment. This role manages front-desk operations and supports the HR department with administrative tasks, including documentation and payroll support, contributing to the smooth operation of both reception and HR functions.
Duties and Responsibilities
The associate’s primary functions and responsibilities are as follows:
* Assist with HR-related administrative tasks, ensuring all processes are compliant with company policies and procedures.
* Greet and welcome visitors with a friendly, professional attitude upon their arrival.
* Ensure all visitors sign in upon arrival and sign out when leaving, maintaining accurate visitor logs.
* Direct visitors to the appropriate person or location, ensuring a seamless experience.
* Answer, screen, and route incoming phone calls efficiently, providing excellent customer service.
* Keep the reception area neat, organized, and welcoming, ensuring all necessary materials (e.g., pens, forms, brochures) are readily available.
* Provide accurate and helpful information to visitors in person, over the phone, or via email.
* Receive, sort, and distribute daily mail and deliveries in a timely manner.
* Prepare and process mail orders as needed, ensuring proper handling and dispatch.
* Maintain office security by following safety protocols and monitoring access through the reception desk.
* Track and manage office supply inventory, ensuring necessary supplies are always in stock.
* Coordinate and schedule meetings, updating calendars and ensuring all arrangements are in place.
* Maintain a daily outgoing office supply inventory sheet to monitor stock levels.
* Assist with various clerical duties, including filing, photocopying, transcribing, scanning, and faxing, to support team operations.
* Support HR functions, including assisting with documentation, payroll, and communications as required.
* Maintain confidentiality and discretion when handling sensitive HR documentation and employee information.
* Perform other assigned duties.
* Follow Health and Safety rules and regulations.
* Must follow G ood M anufacturing P ractices, Food Safety, and Food Defense guidelines.
* Comply with all Company policies and procedures.
Qualifications
* Previous experience in a receptionist or administrative support role, demonstrating attention to detail and professionalism.
* Excellent communication skills with the ability to interact professionally with visitors, employees, and management.
* Strong organizational and multitasking abilities, ensuring efficient management of front-desk operations and administrative tasks.
* Proficiency in office software (e.g., Microsoft Office Suite, email systems, and calendar management tools).
* Ability to maintain a clean, organized, and welcoming reception area, ensuring a positive first impression for visitors.
* Ability to work in a fast-paced environment.
