We are looking for a high-performing candidate to join the Business Management Unit (BMU) in Commercial Directorate as Executive Assistant/Diary Manager to a Director and 3 Deputy Directors (DDs). You will directly manage their busy diaries of the Director as well as supporting the wider team, managing the team's internal processes and supporting Senior Leadership Team (SLT)/Directorate business such as regular cross-Directorate meetings and Away-days.

The Department for Business and Trade (DBT) Commercial Team plays a key role in:
* Supporting the delivery of DBT’s policy agenda of promoting UK trade across the world and attracting foreign investment.
* Providing commercial advice, support and access to goods and services for DBT and its Partner Organisations.
The Commercial team are responsible for commercial governance, commercial capability, procurement, and sponsorship work across the department. Our role enables programmes across all DBT’s strategic objectives to be delivered where goods or outsourced services are required, ensuring that these are procured and contracted demonstrating great value for money and in line with prevailing procurement legislation.
The BMU p lays a pivotal and cross-cutting role to ensure our directorate can deliver a complex portfolio of work. The team is responsible for coordinating cross-cutting work, financial forecasting and reporting, supporting recruitment and retention in the directorate, ensuring we have the grip on our resources to deliver our objectives and PQs and FOIs. There also 2 sub teams that lead on Commercial Data and Systems and Commercial Assurance.

Working alongside the wider business management team, you will be responsible for ensuring the Director/DDs' day runs efficiently and their time is effectively managed as well as having the opportunity get involved in wider business management work. This vital role requires strong interpersonal skills, attention to detail, and the ability to prioritise multiple tasks in a dynamic environment.
Key Responsibilities
* Proactive management of 4 busy diaries, making sure they are accurate and up-to-date, and dealing effectively with short notice changes. Forward planning to ensure longer term priorities, commitments and responsibilities are captured.
* Acting as a tactful and professional first point of contact for diary matters and other personal support issues.
* Forming and maintaining effective relationships with key personnel across the Directorate/ Department and with wider stakeholders to help co-ordinate diaries and other business needs.
* Leading on logistical matters, including domestic and occasional international travel arrangements and ensuring value for money.
