We are looking for an enthusiastic professional person to join our ever-expanding team here at FCMS. The role of Service Coordinator is primarily line managing the practice reception and administration team, carrying out day-to-day activities.
The service operates from 08.00 to 18.30 weekdays excluding public holidays, and there is an expectation that the postholder may be required to work some early mornings and evenings until 18.30.
Rate of Pay: £12.46 per hour
Hours: 37.5 hours a week Monday to Friday excluding Bank Holidays. Working week to be discussed at interview, hours to be flexible.
Main duties of the job
The post holder will work closely with (and under the direction of) the Practice Manager to provide the continual improvement of standards across the service, supporting the team and deputising for the Practice Manager.
The successful candidate must be able to work on their own initiative and have some supervisory experience, along with strong IT skills. You must be organised and confident, have a friendly and approachable manner, and can work under pressure.

Compass Medical Practice
Compass Medical Practice is a virtual GP Practice for patients who have been removed from mainstream GP practices as they are deemed difficult to doctor. The practice covers a wide geographical area which incorporates Lancashire, Cumbria and parts of Cheshire & Merseyside. Patient consultations take place by telephone/video link, and if a face-to-face consultation is required, the appointment is undertaken within a clinical space within the patients' community or the bespoke Compass Medical Practice clinical van.
The post holder
* is an experienced supervisor/manager/leader of staff, providing leadership to the reception and administration team
* has excellent service, leadership, communication, and project management skills (or willing to work towards)
* be suitably proficient with IT systems and software applications, preferably in a clinical setting (although training will be provided for the suitable candidate)
* hold a relevant management qualification or be willing to work towards a management qualification
* exhibit safe, professional decision-making and high level of care for patients within the Practice
* work collaboratively with the wider Practice team to meet the needs of our diverse range of patients
* support the delivery of required policies and procedures
* is the IAA for some Compass systems e.g. IAA Sesui
* deputise on specific meetings e.g. Practice Managers meetings
* leads on patient removals
Full enhanced DBS clearance must be met.
Key Responsibilities
The following are the core responsibilities of the Service Coordinator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
* To provide day-to-day support, leadership, first line management and guidance for the practice reception and administration team, ensuring an efficient and professional manner is maintained and to provide cover to the reception team when needed
* Be the first line of contact for the operational team
* Ensure all reception and administration duties are completed to the highest standard including via staff induction and onboarding
* Support the Practice Manager and Operational Support team in the recruitment and induction of all new reception and administration staff
* Support the Practice in the running of elements and/or services within the practice e.g., compliance with CQC, Health and Safety audits etc.
* Work with the Practice Manager and other members of the practice to identify areas for improvement and assist in change management where appropriate.
* To be a point of contact for staff and patient queries and concerns.
* To provide cover for members of the secretarial team during periods of sickness and annual leave.
* Deputise for the Practice Manager as required.
Person Specification
Knowledge & Skills
* Able to exercise initiative in organisation and prioritising work.
* Good communication skills both written and oral.
* Strong organisational skills, and ability to coordinate information and data from a range of sources.
* Excellent IT skills including Word, Excel, Outlook, PowerPoint and Microsoft Teams.
* Knowledge of EMIS computer system.
Qualifications
* Good standard of general education
* IT qualification e.g. ECDL or equivalent
* NCQ in Business Admin or equivalent
* NVQ or equivalent in Health and Social Care
Experience
* Experience working in an administration role in a GP Practice
* Experience of using EMIS
* Experience working in a management role in a GP Practice
