Job overview
The Porter and Helpdesk Manager is an integral part of the Facilities Management team structure with responsibility for facilitating prompt and safe movement of patients, post, goods, waste, specimens, bloods and any other items as may be required by the Trust.
The post holder will be responsible for delivery of safe, cost effective and efficient services for 900 hospital beds and various specialist service departments throughout the Trust. Development of services as well as managing the cross-site teams is important. This is a rapidly changing environment and therefore a key element of the role is developing and maintaining strong stakeholder relationships.
The post holder will manage more than 100 staff that delivers an effective 24 hour / 7 day a week services to the Trust. The budget for these services is £4m per annum and the post holder will manage the delegated budget, accountability resting with the Director of Facilities Management.
Main duties of the job
1. To actively manage the porter and waste management services in accordance with Trust policies and procedures.
2. To manage and maintain cost effective services to maximise all available resources in the provision of these.
3. Ensure productivity and general activity within span of control is maintained so that performance can be monitored and developed.
4. Ensure that any contractual arrangements and agreements are reviewed in a timely manner.
5. Ensure that Business Continuity plans are in place to deal with the complexities of managing services for the Trust during times of increased activity and demands.
6. Work effectively with the Waste Manager to ensure best and safe practice as well as ensuring waste legislation is adhered to by the team.
7. Work in collaboration with Senior Managers to diagnose, analyse and advise on complex issues and agree appropriate courses of action in relation to the different services managed.
Detailed job description and main responsibilities
1. To ensure compliance with all current legislation which affects services within the post holder’s span of control.
2. Develop and implement robust Standard Operating Procedures (SOPs), policies and procedures that underpin the specific services within the post holder’s remit, liaising with the Trust’s Health and Safety Manager and Waste Manager as required.
3. Understanding of Trust policies and procedure in order to support the portering team.
4. To manage staff and all other resources associated with span of control and within agreed budgets.
5. Responsible for ensuring that all staff are appropriately trained from induction through to formal training in specific areas and to take account of their specific duties and responsibilities.
6. Provide training in own discipline and to non-managed staff in relation to areas of specialism.
7. Undertakes regular staff appraisals so that objectives, performance targets and personal development plans are in place for each individual member of staff.
8. Ensures the health and wellbeing of all staff within the remit of the role.
9. Ensure licence / insurance checks and compliance for all staff who need to drive on Trust business.
Person specification
Experience and Qualifications
* Educated to degree level or equivalent qualification / experience.
* Facilities Management or equivalent specialist knowledge / managerial qualification.
* Evidence of continued professional development.
* Extensive experience of managing large groups of staff.
* Knowledge of associated legislation / COSHH.
* Worked in an NHS environment and has an understanding of relevant issues.
* Ability to support and manage change.
* Ability to manage and control budgets.
