Maintaining the Health Records Library, ensuring all the documentation within the Health Records is tidy, accurate, and complete.

RESPONSIBLE FOR:
The provision of an efficient, friendly professional service for patients and users of the Health Records department.
Locate and deliver Health Records on a daily basis; maintenance of the Health Records library.
Main duties of the job
1. Locate and retrieve patient Health Records as required.
2. Maintain the Health Records library in accordance with Policy and Procedure.
3. Enter data and update confidential information onto Lorenzo in a timely and accurate manner, e.g., marking patients' records as deceased or as culled records.
4. Receive telephone calls in a timely and courteous manner in accordance with NHS guidelines.
5. Deal with enquiries in a confidential manner from staff, external agencies, and patients, responding in a courteous manner in accordance with the Trust's policies, procedures, and NHS guidelines, passing complex enquiries to the line manager.
6. Liaise with various staff from other departments within the trust, patients, and external agencies, e.g., GP surgeries as required.
7. Be proficient in the use of the Health Records library and adhere to departmental Standard Operating Instructions and policies.
8. Follow both Trust and departmental policies and procedures but use own initiative and knowledge to deviate from these if required.
About us
We operate from three main hospitals: Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as a number of community healthcare premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.
FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units, and various Consultant-led services.
WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non-life threatening conditions such as broken bones and minor illnesses.
All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, daycase, and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.

Person Specification
Education
* GCSE English and Maths Grade D or above or equivalent qualification.
Experience
* Experience of working in an office environment.
* Dealing with patients/relatives.
Skills
* Proficiency in Microsoft word processing skills.
* An understanding of medico-legal Procedures.
* Excellent communication skills - written/verbal/listening. Ability to work effectively with all levels of staff.
* Ability to work unsupervised, prioritise own workload and that of the team, and be confident in decision making.
* Ability to monitor work carried out by staff and motivate the team accordingly.
* Dealing with distressed patients/relatives in person and on the phone.
Personal
* Ability to form and develop effective working relationships.
* Ability to travel as required.
