A vacancy has arisen for a PA to the Leasing team on a 12 month fixed term contract.
The role will suit a dynamic individual who enjoys working in a fast-paced customer-focused environment. The successful candidate will have exceptional organisation skills coupled with the communication and influencing skills and have the confidence to liaise with a wide range of parties. With around 80% of the role focused on the planning and management of extremely busy diaries, arranging complex meetings, business lunches and site inspections and tours.

Key Responsibilities
* Managing the forward planning of diaries making the most effective possible use of team members time
* Proactively checking the teams diary to ensure they have all the information required
* Managing conflicting priorities and short notice changes
* Arranging agent/broker lunches and celebrations
* Make all arrangements associated with meetings (attendee availability, venues, rooms, facilities and, where relevant, travel arrangements), ensuring all details are taken care of to ensure smooth running.
* Act as the main point of contact for meeting attendees and an ambassador for GPE liaising with all relevant parties – external and internal – throughout.
* Maintain a good working knowledge of current projects, status and service partners and contacts to provide a pro-active, value-add Team PA service.
* Support with inputting information into the CRM system including email and key contacts
* Co-ordination with the flex sales and portfolio co-ordinator to help arrange viewings
* Prepare expenses and CPD logs for the team
* Oversee invoices on Manhattan and remind team to approve invoices
* Prepare new supplier forms and any requests for funds from our lawyers to cover landlord fees
* Attend Leasing team meeting
Experience/ Background
* Minimum of 3 years’ experience in a Team PA role
* Adept at working in a fast-paced and dynamic environment
* Some experience of working in a professional/technically oriented organisation.
* Experience within real estate preferable
