Join us as an Executive Assistant to CFO, and you’ll do the same.
As the successful Executive Assistant, you will manage workload on behalf of the CFO, interfacing between all areas of Finance, IT and Global Business Services (FIG) to ensure seamless communication and supporting the execution of the Corporate FIG Leadership Team work plans with the extended FIG Leadership Team and CELT.
Reporting to the CFO, supporting on all activities, including strategic and high-profile deliverables.
This is a pivotal role and fantastic opportunity for the right candidate as Convatec Finance is going through an exciting period of change with substantial transformation as the focus of this year. This is an opportunity to work at the heart of creating a world class function.
Key Duties and Responsibilities:
* Monitor the development and implementation of business plans for all key projects and ensure that they are aligned to the Finance journey.
* Responsible for resolving key issues that arise, escalating concerns to the relevant leaders on behalf of the CFO and escalate issues to the CFO when required and give regular updates on issues that are relevant.
* Screening correspondence and handling certain responses.
* Managing agendas and materials, prepping meetings to ensure efficient use of time, follow up action points including being the coordinator of the FIG Leadership Team Actions ensuring progress with a particular focus on functions people agenda.
* Preparation and follow up - reviewing upcoming meetings for the day and week to ensure the CFO has all the necessary information, the agenda and objective of the meeting, and sending out documents to meeting attendees as necessary.
* Process and submit expense claims on SAP Concur Expense Management for the CFO. Handling of confidential communications and internal enquiries on behalf of the CFO.
* Working Closely with the CEO’s Executive Assistant and covering in her absence.
Meetings & Events Preparation:
* Preparation of Finance Townhalls and FLT Meetings - ensuring the cadence for meetings and touch points with leadership teams.
* Strategically managing the CFO’s agenda, working with other assistants, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
* Drafting presentations, reports or other finance related communication packs for internal stakeholders in collaboration with internal teams (and Global Communications Team where necessary).
* Work with the Head of Investor Relations to help coordinate and facilitate Investor calls, Roadshows and meetings.
* Reviewing performance and other key reports, preparing syntheses.
About You:
* Proven track record of driving and delivering business projects.
* Comfortable managing senior C-suite stakeholder relationships.
* A professional, enthusiastic, and proactive approach, with the ability to independently manage a diverse and fast paced workload.
* Results oriented and highly organized.
* Ability to maintain confidentiality and discretion.
* Enthusiastic to work with changes and ambiguity.
* Flexibility to adapt to changing priorities and work independently with minimal supervision.
* Strong communication skills, both written and verbal (clear & concise, creates a positive impact, challenging but considerate).
* Advanced use of PowerPoint, One Note and Excel.
* Strategic forward thinker with an eye for the detail.
* Excellent organizational skills with the ability to effectively plan and prioritize workload.
Travel Requirements:
* Hybrid Working: on average 4-6 days per month in the London Paddington office.
* At times flexible working patterns may be required.
* Some travel may be required.
