What You’ll Be Doing Managing and coordinating the schedules of trichologists, doctors, and clinical staff, ensuring seamless operations. Handling patient enquiries with professionalism and empathy via phone, email, and in-person interactions. Maintaining accurate and confidential patient records with meticulous attention to detail. Assisting with billing, invoicing, and inputting daily numbers on spreadsheets Preparing and organising documents, reports, and correspondence efficiently. Coordinating clinic events, workshops, and maintaining communication with some suppliers Ensuring the clinic is well-maintained and stocked with necessary supplies. Providing general administrative support to ensure the smooth daily running of the clinic. What We’re Looking For Proven experience as a clinic Assistant, Administrative Assistant, or similar role—ideally in a healthcare or wellness setting. Exceptional organisational and time-management skills, with the ability to prioritise tasks and manage multiple responsibilities. Excellent communication and interpersonal skills, demonstrating professionalism, warmth, and discretion. Tech-savvy – proficiency in Microsoft Office (Word, Excel, Outlook) and experience with scheduling tools or CRM systems is a plus. High attention to detail and accuracy in handling sensitive information. A proactive and adaptable mindset, always looking for ways to improve efficiency and support the team. A professional and friendly demeanour —we’re looking for someone who genuinely enjoys helping others. Knowledge of healthcare and medical terminology is advantageous but not essential.
