If that all sounds exciting, join us A Day in the Life As the Office and Workplace Administrator, you will oversee our Cambridge and London offices, ensuring they run smoothly and are well-equipped. You'll provide event, meeting, and administrative support as needed across the business and will strive to create a positive office experience by maintaining and stocking the spaces, organising events and social activities, and being the go-to for office support. You'll also work closely with internal teams, suppliers, and vendors to manage service contracts and keep everything on track. Who You Are Experience in office management or administration is essential. Strong organisational and multitasking skills to manage tasks across multiple locations. Excellent communication skills for coordinating remotely with teams and service providers. Self-starter with the ability to manage operations across locations, while ensuring nothing falls through the cracks. Ability to travel regularly to each office and work independently onsite as required. Key Accountabilities - Office Management (Remote & Onsite Support): Overall office management responsibility for office physical security (including access fobs for employees and visitors), meeting health and safety requirements (including managing fire marshalls), and communications with the building management and managing contractors. Requires liaison with the Information Security Team for audits. Also includes ordering supplies and processing invoices. Event and Meeting Support: Coordinate logistics remotely for meetings, workshops, and smaller events, including across US locations. Book venues and manage catering for non-executive lunches and dinners in Cambridge, and London. Provide onsite support for critical events and setups as needed Supplies and Vendor Coordination: Order and track office supplies remotely, managing inventory across all locations. Schedule and coordinate maintenance checks remotely, arranging service provider visits as needed. Provide support with daily operations and streamline processes across offices.
