The Job
We are looking for an Executive Assistant to provide high-level support to our CEO while playing a vital role in keeping our fast-paced social media agency running smoothly.
Every role at Coolr plays a critical part in the work we do. As the Executive Assistant to the CEO, you’ll take on a diverse range of responsibilities, including:
Executive Support:
* Manage the CEO’s calendar, scheduling internal and external meetings, and ensuring their time is optimized.
* Prepare meeting agendas, take detailed minutes, and follow up on action items.
* Act as a key point of contact for the CEO, liaising with clients, team members, and external partners.
Meeting & Event Coordination:
* Organize internal and client meetings, ensuring smooth execution (tech setup, room prep, catering).
* Support pitch presentations and manage monthly company meetings, office socials, and events.
Office Management:
* Oversee office operations and support our office manager in managing deliveries, vendor coordination, and maintaining a clean, organized workspace.
* Troubleshoot and resolve any complex logistical or operational issues.
Travel & Logistics:
* Arrange travel and accommodation for the CEO and key team members attending shoots, conferences, or events.
* Ensure all logistics are handled efficiently, including itineraries and documentation.
Key Experience
* Proven experience as an Executive Assistant, ideally in a creative or social media agency environment.
* Skilled in calendar management, travel coordination, and preparing meeting materials.
* Proficient in organizing events, office administration, and managing vendor relationships.
* Strong organizational skills with the ability to manage competing priorities in a dynamic environment.
* Tech-savvy, with experience troubleshooting IT issues and coordinating with external providers.
