LENDING Senior Personal Assistant Role Purpose The Senior Personal Assistant will provide high quality and efficient support to Senior Leadership within CBRE's Lending division to ensure they are effective and organised. They will provide general administrative support to all team members and collaborate across the Assistant team to ensure that valuer and client needs are met at all times. Key Responsibilities: Team Support and Administration: Point of contact for the team Diary Management for SDs and EDs, with a focus on client meetings and performance reviews Setting up recurring team meetings Liaising with the travel company to book flights, train tickets and hotel accommodation and on occasions, creating travel itineraries (for Director and above colleagues unless complicated International) Locker requests or management Creating, formatting, and amending documents, correspondence, and presentations to ensure they are in line with the corporate standards Set up client meetings and similar events Cover for other assistants when on leave and support ad hoc tasks for wider business when required. Onboarding of new team members (communications, IT requests, system set-up, internal liaison etc) Loan Management; take the lead on variety of loans to manage monthly drawdowns, reviewing project management reports, flagging queries, seeking approval for payment and maintaining drawdown monitor Other ad-hoc activities to help in the running of the team Marketing and Events: Manage client lists in ClientIQ Maintain marketing/event calendar Coordination of client and team events Track client responses to invitations Distribute Reports - e.g. board papers Update marketing materials Manage CV folder for the teams Inform team of photo dates and save photos on system Other similar ad-hoc activities Person Specification/Requirements: Advanced IT skills (PowerPoint, Word, MS Outlook, Excel) Good communication skills, both verbally and in writing Team player who effectively works with colleagues and clients of varying seniority Accurate and exceptional attention to detail Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met Maintain a positive and flexible attitude towards all tasks Pro-active and enjoys working both autonomously and as part of a wider team Confident and assertive where required to assist team members Understands and appreciates the importance of using discretion particularly when dealing with confidential matters Working at CBRE When you join CBRE you will have the support and resources of a global firm where an entrepreneurial mind-set is encouraged.
