Description Role Overview Reporting to the site General Manager as part of the support leadership team. As the Facilities Manager you are accountable for safeguarding the depot to operate in accordance with legal and company standards. You are responsible for making sure the depot facilities are legal and compliant in co-ordination with the management team. You are responsible for leading a facilities team that is responsible for the repair, maintenance and upkeep of the site. This role demands a proactive approach to managing site services, ensuring efficiency, safety, and excellence in all operations. It also involves the contract management of security, cleaning, catering facilities and MHE provider. You will challenge existing processes and practices and identify opportunities for continuous improvement. How will you contribute? The role will require the successful candidate to manage a team of facilities colleagues, the performance of contract partners and ensuring effective liaison with the users so they can fulfil their function delivering service to the site. Lead, coach and develop the facilities team to enhance performance and professional growth Oversee the staff and budget planning to ensure optimal resource allocation Negotiate with suppliers and vendors to ensure continuous quality and cost efficiency Oversee the completion of all facilities and building-related jobs on site Liaise & monitor facilities contractors while they are on site, e.g. pest control, waste contractor, environmental contractors and ensure any actions resulting are completed Effectively manage On Site Security Operations ensuring that Officers are working in line with Site Policies and Procedures at all times. Ensure the Client is fully briefed and updated regarding any security issues that arise. Assist in Security investigations into any loss, damage or other incidents affecting property, visitors or staff. Ensure site facilities are managed in accordance with Health and Safety policy and procedures. This will include but is not limited to ensuring all records of installation, licensing and maintenance are up to date, that practices adhere to any required health and safety or legislative requirements, and that records are available for inspection by colleagues and managers on site. Work with the H&S Manager to ensure maintenance and checks are compliant with fire, emergency lighting, legionella, asbestos, ammonia, PPE, pest, cleaning schedules, security, & COSSH assessments Ensure Contractor and Visitor safety at all times when on site and the allocation of Work Permits. Contractor management including contractor induction, permits to work and works inspection. Support the warehouse team with their management of MHE, the recording & collation of documentation & check the completion of actions from statutory inspection Provide guidance to the management team to comply with internal and external audits and close out requirements after audit with the support of the appropriate support departments Coordinate depot management of third party audits, BRCGS, Customer, Liability Surveys Provide quarterly site waste data via the SharePoint portal Support the administer for the site’s Business Continuity Plan Assist in safety and health campaigns engaging your team to develop a pro-active safety culture. Build strong working relationships with internal and external customers, including sub-contractors, to ensure all services are delivered in a professional, timely and cost-effective manner. Develop and manage a clearly defined PPM strategy to ensure all site assets are maintained to required standards. Utilise on-site and third-party support contractors’ information and data to execute various forms of maintenance, condition based / calendar based / run-time analysis to execute the maintenance plan. Procure new suppliers and contractors within Wincanton’s new supplier policies and procedures. Investigate issues within role scope to establish root cause and instigate corrective action - technical fault-finding. Support the implementation and maintenance of best practice value to all aspects of facilities with a view to continually improving working practice and efficiency. Work collaboratively with, support and guide the rest of the site management team as they take up new roles. What will you bring? Have previous experience of having worked as a Facilities Manager and leading a team. Ideally experience of working in distribution Proven success in developing effective working relationships, managing partnerships with contractors and the management of multiple contracts Good working knowledge of relevant statutory regulations applying to commercial premises. Knowledge of Health and Safety legislation and ability to apply legal requirements in the workplace Gravitas and Resilience to work through complex requirements Organised, able to make robust judgements and prioritise in order to achieve specific targets and deadlines Strong influencing skills, the ability to take the initiative, drive results and follow plans through to completion. Excellent verbal & written communication skills, including report writing and PC skills including Microsoft Office and facilities management systems Attention to detail is imperative and auditing skills are an advantage Proven people management skills including daily management and career development Leading and delivering LEAN/Continuous Improvement initiatives Managing change projects and engaging with employees Compile, collation, analysis, and presentation/reporting of technical facilities data for internal and external audiences Ideally H&S qualified ie IOSH/NEBOSH certificate
