Contracts Administrator
Main Purpose of Job:
To provide high quality and professional administration support to the Contract Managers, Site Staff and colleagues.
Key Duties and Responsibilities:
1. Working directly with the Contracts Managers.
2. Assisting Contract Managers with all project related administration.
3. Obtaining quotes from suppliers.
4. Placing orders/call-offs for projects and ensure Procurement Schedule is adhered to.
5. Creating H&S files, risk assessments and method statements.
6. Producing and continuously updating O&M manuals ensuring certificates are registered with appropriate authority.
7. Deal with in-coming Pre-Qualification Questionnaires (PQQs) and maintain existing approved status with our clients.
8. Managing the Sub-Contractor Database, keeping Supplier Insurances up to date.
9. Assisting with the maintenance of office systems, including data management, databases, spreadsheets and filing.
10. Provide administration support to the Directors and Administration Team Leader.
11. Liaising with the design team.
12. Maintaining office diary system and client database.
13. Monitoring e-mails for nominated members of staff when they are not in the office.
14. General administrative and office duties.
15. Screening phone calls, enquiries & requests, and handling them in an appropriate manner.
General (duties shared with rest of Admin Team):
1. Help with providing reception & telephone cover during absences (holiday, sickness, lunch etc).
2. Assisting clients and visitors with all requests.
3. General administration duties including typing, photocopying, folding of drawings, filing, archiving etc.
Requirements:
1. Ability to work under pressure, to tight deadlines, multitask and to prioritise a varying workload.
2. Excellent telephone manner.
3. Good IT skills, including Word and Excel.
4. Willingness to learn.
5. Industry experience would be beneficial but not essential.
6. DBS Checks may be required.
This role is fully office based – Mon to Fri 8am to 5pm (4pm on a Friday) - parking on site.
Salary: £25,000 – £26,000
Benefits: 25 days annual leave plus 8 days bank holidays, other great benefits, newly refurbished offices.
