Job Title: Maintenance Administrator (Full time)
Location : Poole (Office Based)
Salary: £28,000 – £30,000 per annum
Job Type: Full time/ Permanent (40h per week 8:30am – 5:30pm Mon-Friday)
About the role:
We are in search of an experienced administrator to work in our Head Office in Poole. You will need to be eager to embrace a fresh opportunity within a fast-paced setting. The perfect candidate should be adaptable, have a desire to acquire new skills, and be comfortable working individually or as part of a supportive team in a face-to-face environment.
In this position, you will play a vital role in supporting the Maintenance Team and, as such, we are seeking an individual with a strong, optimistic mindset and a sharp attention to detail. The responsibilities will be diverse, requiring efficiency and excellent organisational skills.
Duties and Responsibilities:
1. Basic quote preparation for maintenance contracts
2. Preparing pro-forma invoices for payment through Sage 200
3. Chase timesheets and job sheets to ensure receipt in a timely manner
4. Contacting customers to chase outstanding invoices and quotes
5. Entering Sales orders for goods, services, and labour
6. Scheduling appointments for our engineers
7. Preparing Job Packs / Calendar Appointments for engineer visits
8. Costing engineers time from weekly timesheets to a sales order
9. Basic quote preparation for remedial works
10. Using Servicelife to record all customer and site history
11. Answering the phones and responding to emails as required
12. Booking Hotels for engineers
13. Managing ‘Van Stock’ and returns
14. Other duties as required appropriate to the role
About you:
15. Previous experience in a similar role is desirable
16. Strong communication skills as you will be liaising with colleagues across the business as well as with clients on the telephone and via emails
17. Excellent numeracy and IT skills
18. Organised, accurate with a very high attention to detail
19. The ability to make decisions whilst working under pressure.
20. A proficient user of MS Office
