This role is full time and permanent with hybrid working in our Glasgow city centre office.
The Team
PMA (Property Management Accounts) is the property & fund accounting team, based in Glasgow. PMA support the Surveying Teams & Facilities Managers in the UK by administering approximately £3 Billion p/a of rents and service charge.
Role Purpose
To effectively manage a varied portfolio of clients, ensuring that all KPI’s and SLA’s are achieved or exceeded as well as maintaining excellent client/tenant service levels.
Key Responsibilities
1. Effectively manage workload across portfolio
2. Adhere to all credit control processes and develop where necessary
3. Collection of all outstanding charges within lease terms and internal/external SLA’s
4. Reduce aged debt through pro-active collection techniques
5. Minimise risk across portfolio through regular review and arrears management
6. Promote and develop relationships with key contacts throughout the business
7. Hold regular meetings/con calls with property managers/Surveyors to review client portfolios
8. Manage queries to resolution through investigation, reconciliation and escalation
9. Recommend appropriate action bailiff/legal/forfeiture and manage case to conclusion
10. Ensure all systems information is up to date and accurate and clearly demonstrates actions taken
11. Attend client meetings to discuss portfolio
12. Creation of required client reports
13. Manage payment plans/Hardship accounts
14. Recommend bad debt write offs and create bad debt provisions
15. Maintain mailboxes and ensure all documentation is filed correctly
16. Assist in raising profile of credit control team with all departments
17. Assist cashiering team with allocation of monies and maintenance of accounts
18. Work collaboratively with other departments to ensure excellent service
19. Ensure adherence to all RICS, ISO and ISAE3402 guidelines
Person Specification/Requirements
1. Good IT skills (Word, Excel, MS Outlook). Previous experience of working on multiple platforms
2. Excellent communication skills, both verbally and in writing
3. Relevant experience working within credit control function
4. Good understanding of credit control procedures and techniques
5. Knowledge of legal proceedings
6. Property knowledge would be advantageous
7. Experience of working in target driven environment
8. Experience of working in high transactional environment
9. Good interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority
10. Maintains a positive attitude towards routine tasks
11. Accurate and exceptional attention to detail
12. Pro-active and enjoys working autonomously and as part of a wider team
13. Confident and assertive where required
