What are we looking for?
Cleveland Clinic London are looking to recruit a Theatres Coordinator to join our Clinical Operations team.
As the Theatres Coordinator for Clinical Operations, you will play a crucial role in Clinical Operations team by supporting the productivity and efficiency of clinical resources. You will be responsible for day-to-day capacity management, ensuring that activity is coordinated in an efficient and effective way across theatres in partnership with the theatres nursing team. You will work closely with the Institute Operations Managers and their Chairs to ensure capacity for weekly scheduled sessions aligns to clinical service needs. You will facilitate ad hoc availability for consultants with support where necessary from the Institute Operations Managers.
What will your duties include?
* Work closely with other teams to coordinate clinical activity to maximise efficiency.
* Provide effective communication with team members and other departments to ensure an efficient service is maintained.
* Assist the Institute Operations Managers and Division Institute Managers in achieving performance targets.
* Work collaboratively with other team leaders in the daily running and scheduling activity and provide support in clinical areas as appropriate and necessary.
* Work as part of the Theatre operational group to meet the departmental objectives and develop the work of patient access.
* Work with Institute Management team and Clinical Leaders to establish and manage schedules (theatre).
* Work with Institute Management team to develop and support clinical rotas.
* Manage and identify alternative sources of activity when capacity is available due to consultant time away.
* Develop and communicate reports on schedule utilization and efficiency.
* Maintain a high standard of documentation in accordance with required record keeping.
* Maintain and raise the standard of care through the process of audit, and as a result implement changes in best practice.
* Escalate any issues which require higher level support.
* Liaise with the Reservations, Access Center, Medical Secretaries and Pre-assessment teams in the bookings of theatre and outpatient appointments.
* Support the Institute Operations Managers in proactively planning, checking through anticipated operating lists and identify any issues arising.
* Ensure communication to consultants and other impacted consultants if there are changes to planned schedules.
* Maintain a personal, professional profile, identifying role and skill developments.
What we need from you?
* Substantial track record in scheduling and administration in a healthcare setting (Essential).
* Experience of working in a healthcare setting (Essential).
* Experience of managing relationships with senior stakeholders e.g. consultant medical staff (Essential).
* Experience of working towards deadlines and KPI's (Essential).
* Proven experience in being able to collaborate effectively across multidisciplinary teams (Essential).
* Experienced in the manipulation of data and exporting reports in Excel (Essential).
* Previous experience in a similar role (Desirable).
* Relevant system experience e.g. EPIC, Kronos (Desirable).
