To provide comprehensive administrative and operational support for the KS3, KS4 and KS5 curriculum,
fostering effective communication and collaboration between parents, students, and staff. The role
ensures smooth day-to-day operations by managing parent communications, lesson support, event
coordination, and extracurricular activities with a positive and proactive attitude. Additionally, it
involves maintaining accurate student data, supporting school events, and assisting teachers and
trainees with administrative needs. Through collaborative working and a commitment to excellence,
this position plays a vital role in enhancing the efficiency and success of the school community. Key Responsibilities
Parent and Student Communication
• Act as the primary point of contact for parents on behalf of teachers, handling approximately
90% of daily communication via phone calls, parentmail, emails, and letters.
• Address parent queries promptly, particularly when parents are unable to get a response from
form tutors or reception. Resolve issues by liaising with relevant staff, such as correcting
attendance records or other administrative discrepancies.
• Manage parent communication, including mail merges, letters, and updates for events,
timetables, and payments.
• Handle administrative tasks for Year 6 transition days, including timetables, labels, and passes.
• Assist with Duke of Edinburgh administration, including letters, payments, certificates, and
badges.
Lesson Support
• Provide classroom coverage as required, including cover feedback sheets, starting lessons,
assisting cover teachers, and ensuring smooth lesson transitions.
• PE and Sports Administration
• Manage PE fixtures by updating the permission section of the website, sending letters to
parents, and following up with those who have not completed permission forms.
• Serve as the point of contact for sports day, including coordinating parent attendance and
creating attendance registers.
• Set up the reflection room and extended day materials everyday.
Administrative, Events and Admissions Support
• Assist with open mornings and school tours, providing support to the attendance officer with
prospective students and their families.
• Support marketing and administrative needs for events such as presentation evenings by
verifying student details, sending invitations, and managing other ad-hoc tasks.
• Coordinate reward assemblies by running reports, ordering badges, and creating certificates
and presentations.
• Support with open mornings, evening events, and extracurricular activities as required.
• Assist teacher training programs with administration, timetables, and trainee support.
Operational Coordination
• Maintain and distribute teacher resources, such as restocking welcome boxes and whiteboard
supplies.
• Manage detention systems, seating plans, and other scheduling requirements.
• Support surveys and reports evaluative, including designing, analysing, and sharing results.
Dance Academy Coordination
• Manage Dance Academy operations, including setting up registers, monitoring parent payment
systems, addressing missed payments, and sending communications to parents.
Clubs Management
• Set up club schedules in the student information system (SIMS) manually for approximately
1,200 entries.
• Generate participation reports for the headteacher, monitor teacher involvement, and
communicate with parents regarding club updates.
General Administration
• Proofread staff planners and documents, ensuring accuracy and readiness for use.
• Provide clerical and PA support for senior leadership, including the Headteacher and deputies.
• Manage exercise book procurement, liaising with suppliers on pricing, proofs, and deliveries.
System and Staff Support
• Train staff and administrators in Microsoft Office, SIMS, PARs, and other systems.
• Assist with Sixth Form administration and support high performers and pupil premium
initiatives.
Facilities and Logistics
• Set up rooms for meetings, manage deliveries, and create staff lists for fire safety.
• Assist with reprographics and ensure teaching materials and signage are prepared and
distributed.
Event-Specific Tasks
• Support music lessons, Lamda sessions, and extracurricular activities through timetables,
passes, and parent communication.
• Organize sports day logistics, including mark sheets and point tracking.
Evening and Weekend Support
• Provide support to the leadership team (LT) by sending urgent or last-minute communications
to parents during evenings and weekends when necessary and not on a regular basis.
