Our client, a dynamic and fast-growing investment firm, is seeking a motivated and proactive Executive Assistant to join their team in London. In this role, you will provide essential support to the Investor Relations and Operations functions. This is a fantastic opportunity for an assistant looking for a challenging and varied role within the investment industry.
JOB TITLE: Team Assistant

CONTRACT: Permanent
OPERATIONS duties:
1. Manage diary and travel arrangements for senior team members.
2. Coordinate with outsourced travel providers.
3. Handle expense claims.
4. Schedule meetings for other team members.
5. Coordinate internal and external group meetings, including filing related to the investment process.
6. Organise staff events and entertainment.
7. Handle inbound phone calls, post, and stationery ordering.
8. Maintain a good relationship with office management and oversee office space and IT issues.
9. Manage office-related projects.
10. Arrange office lunches and oversee visitor management.
INVESTOR RELATIONS duties:
1. Manage the diary of the Investor Relations team, scheduling and prioritising investor meetings and ensuring timely follow-up.
2. Support the fundraising team with investor outreach activities, including conferences and events.
3. Maintain the CRM system, ensuring accurate and up-to-date information is recorded.
4. Assist with updating marketing collateral and preparing presentations.
5. Provide support in answering due diligence requests.
6. Help maintain an accurate dataroom.
7. Follow up with investors regarding capital calls, distributions, and other notices.
8. Assist in the planning and organisation of investor events, including the Annual General Meeting and dinners.
CANDIDATE REQUIREMENTS:
1. Ability to efficiently schedule meetings across different time zones using electronic diaries.
2. Positive attitude and flexibility to adapt to changing priorities.
3. Strong personality with a friendly and approachable demeanour.
4. Familiarity with Microsoft Office products, particularly Word, PowerPoint, and Excel.
5. Excellent written and verbal communication skills.
6. Strong attention to detail and ability to prioritise effectively.
