Dental Receptionist Band 3 -This role is offered on a full time basis of 37.5 hours per week
An exciting opportunity has arisen to work with the Community Dental Service for Wiltshire and Swindon at our Swindon Site. This is a substantive, full time post.
The post holder will be required to undertake a full range of reception duties including dealing with patients, making appointments, providing information, payment processing and banking and other elements of general office administration.
Experience of general administration work is essential, along with good communication and organisational skills. Experience of a Dental IT system would be an advantage, but training will be given to the suitable candidate. Good IT skills are essential.
The post holder may be required to cover other sites within the service, so transport is essential. This role will also require some weekend and bank holiday working for the Community Dental Out of Hours Service.
The post holder will work as part of a front line team to deliver high quality services to public and staff. The post holder will be required to arrange appointments and provide information to patients.
The role will involve handling payments, maintaining accurate records of transactions and undertake basic banking and reconciliation duties.
The post holder will also provide administrative support to members of the Dental Service Management Team. This role requires travel to all 4 sites of the service throughout Wiltshire as required.
The post holder will be required to work to a flexible shift pattern which will include weekend and bank holiday working

1. Process and administer face to face, written, answer-phone and telephone enquiries, requiring access to information and appointments in line with procedures and service standards. Where necessary liaise with interpreters and other stakeholders.
2. Provide information and advice about dental services and access to NHS dental care for unregistered patients.
3. Obtain personal details from the patients and other sensitive personal, social and medical information, often of a complex nature. Handle all information in accordance with relevant legislation and with high regard for patient confidentiality
4. Ascertain whether patients should pay NHS charges or, if in receipt of benefits, which of these are relevant to exemption from charges. Administer dental charges including exemption categories and checking of eligibility. Calculate fees, collect, handle and patient payments. Take responsibility for security of monies.
5. Receive and prepare documentation for patients and ensure completion of NHS Dental Forms.
6. Maintain and operate the appointments system including call forward of patients, filing of clinical records, and multiple appointment diaries. Collate performance data from the appointments system.
7. Communicate with Dental Laboratories about prosthetic devices and co-ordinate arrangements with clinical diaries. Liaise with other health care professionals regarding patient care.
8. Co-ordinate arrangements between Dental Practitioners and patients including organising domiciliary visits as well as clinics, co-ordinating travel with clinical diaries.

11. The post holder will be required to carry out the above duties at various locations within Wiltshire and take part in the weekend and Out of Hours Rota
12. This role requires daily use of VDU equipment and SOEL dental appointment data base
13. Ensure safe, tidy and welcoming waiting and reception areas.
14. Provide general clerical support including typing correspondence, mail handling, stock control and photocopying. Maintain appropriate records, registry systems (including postal), and file correspondence and clinical records including radiographs, ensuring compliance with the agreed record keeping systems of the Trust.
