The Role
Principal accountabilities of the role include:
* First point of contact to deal with correspondence and telephone calls, ensuring urgent messages are actioned immediately.
* Support the Technical Director with secretarial support such as typing up correspondence, diary management and organising meetings.
* Minute meetings, type up notes and present in a professional format.
* Create Consultant Appointment documents and orders, upload on to COINS.
* Process Restrictive Covenants alongside the Technical Director.
* Maintain Managing Director inbox alongside the Customer Care department.
* Send monthly development cost reports to Technical Managers via COINS/ Sharepoint.
* Collate monthly Technical Board Report alongside Technical Director.
* Maintain efficient filing and archive systems for the Technical Department and for employee records.
* Electronic filing/ archiving/ set up of new electronic filing folders for new developments.
* Update Agile Working schedule weekly.
* Maintain Consultant's Professional Indemnity Insurance details, and upload to COINS.
* Keep Framework Agreement Schedule up to date/ request new Framework Agreements from Solicitors.
* Cover Reception duties on particular allocated day & when needed for holiday/ sickness cover.
* Input received invoices onto Invoice Tracker for approval.
* Update the Development Allocation Schedule and issue out to office staff.
* Send out meeting invites for Technical meetings - Outlook/Teams/ Book meeting rooms.
* Organise staff training as and when required.
* Liaise with secretaries at Group and other Divisions.
Experience, Qualifications and Skills
Experience
* Experience of working in a secretarial/PA role supporting Director level roles.
Qualifications and Training
* GCSE Maths and English – Grade 4/C or above (or equivalent).
Skills and Aptitude
* Excellent administration and organisation skills.
* Strong communication and listening skills.
* Ability to prioritise workload and meet tight deadlines.
* Demonstrates a high level of discretion and confidentiality.
* Ability to work on own as well as part of a team.
* Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems.
* Experience of COINS accounting software preferred.

* Willing to be flexible in respect to day to day duties and hours worked.
* Office-based role.
* This role is a fixed-term contract for 12 months.
* Part-time working 3 days per week.
