The Role:
We are looking for an experienced Office Manager to join our Facilities Management and Procurement team. This role is fully office-based with occasional travel in the UK, requiring presence on-site 5 days a week.
Key Responsibilities:
1. Office Management and Administration:
o Day-to-day management of the office, ensuring smooth operations for staff, clients, and visitors.
o Placing purchase requisitions in Procurify for FMP-related goods and services.
o Working closely with the Office Head on local and national initiatives.
o Manning the reception desk and managing onsite meeting rooms.
o Booking corporate travel for staff.
o Providing secretarial support and managing the post room.
o Answering switchboard calls and redirecting queries.
2. Facilities Management:
o Management of local facilities suppliers.
o Liaising with the landlord on local building issues.
o Collaborating on larger projects such as office moves and refurbishments.
3. Financial and Procurement:
o Monitoring and reconciling the local premises budget.
o Ordering supplies to keep the office fully stocked.
o Conducting RFPs for goods and services.
4. Events:
o Arranging client events and staff socials.
o Managing event budgets and logistics.
5. Health & Safety / Audit:
o Responsible for site Health and Safety.
o Maintaining records for audit purposes.
o Acting as First Aider and Fire Marshall.
Your Profile:
Essential Criteria:
* Previous experience in an office management role.
* Minimum grade 4/C in Maths and English GCSE (or equivalent).
* Proactive and adaptable.
* Excellent communication and organisational skills.
* Advanced proficiency in Microsoft Office.
Desirable Criteria:
* Experience with office moves and refurbishments.
* Relevant qualifications in Health and Safety.
