Assist with day-to-day administrative duties required to run the service company.
KEY ACTIVITIES/ RESPONSIBILITIES (but not limited to):
1. Receive and direct phone and email inquiries
2. Help with organising daily rounds of circa ten engineers
3. Keep customer service records up to date and ensuring client records and assets are correct on Simpro
4. Managing emergency call outs
5. To help swiftly manage from handover all clients service / maintenance warranty needs on an ongoing basis.
6. To help quote clients for services/materials required - service quotes, small works quotes and surveys
7. Liaise with clients, contractors, suppliers:
1. Generate and respond to emails
2. Respond to phone enquiries
3. Generate & send letters to clients regarding services, quoting, pricing, etc.
8. Help order parts/chemicals as needed/requested by the engineers & clients
9. Document all purchases, quotes, etc for budget tracking
10. Help manage all engineers in terms of maintaining work sheets on Simpro
11. Help process correct engineer worksheets for invoicing by finance department
12. Any ad-hoc duties as required by Management
13. Liaising/ interacting with clients and or housekeepers
14. Assisting with servicing of indoor and outdoor swimming pools and all associated plant when engineer sickness or annual leave may require it.
15. Checking correct operation of equipment in the plant room and in pool hall
16. Carrying out water sample testing
17. Small maintenance works / alterations / plumbing
18. Opening up / closing down outdoor pools at the beginning / end of the season
KEY SKILLS REQUIRED:
1. Use of CRM and all round excellent computer skills
2. To be well presented
3. Ability to work under pressure
4. Ability to communicate and input detailed and accurate information
5. Build good working relationships with other parties both internal and external
6. Previous experience in swimming pool servicing
7. Full clean driving licence
ADDITIONAL PREFERRED SKILLS / QUALIFICATIONS:
1. Experience in automatic chemical dosing systems
2. Ability to read and interpret technical drawings and schematics
3. Basic understanding of electrics
4. London driving experience
5. Pool construction and or plumbing experience
