Due to increased global growth in the business, we are seeking a Sea Freight Operations Coordinator (Exports) to be part of our Sea Freight Operations Team within the Basildon Office of ALPI UK Ltd.
Working Hours: Monday – Friday 08.30 hours – 17.30 hours – one-hour unpaid lunch
Salary: £28,000 – £33,000 per annum (dependent upon experience)
The successful candidate would be responsible for organising Sea Freight Operations.
Key Roles and Responsibilities:
1. Assist the Team Leader and Sea Freight Manager in the execution of their duties in support of the departmental vision of the company to become more competitive and profitable.
2. Understand and execute the department's vision of good business development to successfully move Sea Freight products.
3. Complete all Import, Export and Cross Trade activities correctly and on time, ensuring the Customs declaration forms are completed correctly.
4. Immediately report any errors in the customs declaration forms to the line manager and customs claims.
5. Correctly complete all customs import declaration forms.
6. Ensure all operational activities and invoicing are completed on time.
7. Complete ad-hoc and spot checks on a weekly basis to ensure all is in order and all required documents are available.
8. Maintain and utilise the operational system at all times.
9. Ensure all duties/VAT is charged correctly upon invoicing and collect any monies due in line with SOPs.
10. Maintain regular communication with clients, reporting new sales leads and handover of shipments to the manager.
11. Assist in the creation and maintenance of SOPs for the department.
12. Maintain excellent customer and inter-departmental relationships at all times, providing regular feedback to the line manager.
13. Follow up on late customer payments in conjunction with credit control.
14. Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
15. Implement and improve new efficiencies in customer workflow in conjunction with the line manager.
16. Before release, ensure all goods under Alpi’s Deferment account are approved for delivery via accounts and/or line manager.
17. Ensure all reports are generated by given deadlines and handed to the line manager.
18. Accurately complete all invoicing for exports and clients.
19. Procurement of Ocean Freight rates from the shipping line and co-loaders on a monthly basis.
20. Complete Deviation forms in line with GDP compliance.
21. Provide holiday and sickness cover as required.
Skills, Experience and Competencies:
* Working experience of Exports.
* Experience in road transport, logistics, or haulage (Desirable but not essential).
* Working knowledge of the CDS system for both Imports and Exports.
* Proficient with Microsoft packages, especially Ms Excel and other Ms packages.
* Must be able to prioritise and organise own workload with attention to detail.
* Able to work independently and as part of a team.
* Must be flexible with their working hours – occasional weekend work based on volume.
