Job Title: Operations and IT Services Coordinator Position Overview: The Operations and IT Services Coordinator will play a vital role in supporting the operational efficiency of the organisation, focusing on reporting, database management, and IT support. This individual will ensure that operational tasks are executed smoothly, assist with IT-related employee needs, and collaborate with internal teams and third-party providers to keep all systems running efficiently. Key Responsibilities: Operational Support & Reporting: Develop and maintain monthly progress reports using PowerPoint to ensure alignment with client timelines and meetings. Organise and assemble site-specific documentation (ring binders/logbooks) prior to project initiation, ensuring they are ready for the project start date. Ensure all audit-related paperwork is compiled and delivered on time, assisting with the preparation of logbooks for site audits. Input recurring task entries manually into the internal system in anticipation of engineers’ assignments. Support the scheduling and coordination of subcontractor visits, including regular follow-ups to confirm attendance and track progress. Database Management: Maintain the accuracy and integrity of company databases by regularly updating and correcting records. Conduct thorough audits to identify inconsistencies or data discrepancies and rectify them in a timely manner. Generate analytical reports from database records to support informed decision-making across departments. IT Support: Facilitate the onboarding process for new hires by setting up user accounts, providing access to essential tools, and offering an introduction to basic IT systems. Serve as the first point of contact for employees seeking IT assistance with issues such as password resets, printer configurations, and basic software troubleshooting. Assist in the setup and configuration of company devices including iPhones, laptops, tablets, and portable printers. Escalate complex technical issues to the outsourced IT team and ensure that any outstanding issues are resolved quickly. Act as the liaison between the business and the external IT support provider, coordinating equipment repairs, upgrades, and replacements as needed. Monitor and track the status of ongoing IT issues to ensure that they are addressed without delay. Maintain an up-to-date inventory of IT assets and equipment. Key Skills & Qualifications: Organisational Expertise: Exceptional ability to manage multiple responsibilities simultaneously, maintaining a focus on deadlines and priorities. Microsoft Office Proficiency: Advanced skills in PowerPoint and Excel, with a working knowledge of other Microsoft Office applications. Attention to Detail: A keen eye for ensuring data accuracy and organizing large volumes of information effectively.
