Duties & Responsibilities The Executive Assistant supports the General Manager and the Senior Management Team function to enable effective deployment of its objectives across the business. Functions ESSENTIAL • Provide proactive and effective calendar management for the General Manager. • Prioritise the General Manager's emails and respond when necessary. • Draft, review and send communications on behalf of the General Manager. • Answer and respond to calls, communicate messages and information to General Manager and site management team. • Actively stay abreast of the General Manager's priorities by maintaining an overview of business priorities. • Organise and support visitors to SDS-Rosyth (senior Oceaneering personnel and external visitors). • Plan and manage meetings for senior management, clients and employee events including gathering documents and arranging logistics (in-house and off-site). • Manage, actively participate in, and take minutes as required of management level meetings and collaborate with attendees to ensure smooth running of meetings. • Support of site-wide initiatives through promotion to applicable audiences. • Administrative duties to support the Senior Management Team. • Management of the Business Governance calendar. • Arrange travel and submission of associated expenses for the General Manager. • Maintaining strict levels of confidentiality and professionalism. NON-ESSENTIAL • Other duties as required. Qualifications REQUIRED • Minimum 5 years' office experience, including at least 3 years working for executive level managers. • Ability to work well with others in a team environment. • Must have flexibility, responsiveness, and good judgment. • Demonstrated verbal and interpersonal skills to effectively communicate with people at all levels, including senior executive management and clients. • Advanced knowledge of MS Office Suite. • Ability to work independently and prioritise workloads. • Strong organizational skills. High attention to detail and strong grammar and proof-reading skills.
