Role Overview:
This role would suit an experienced Personal Assistant who is keen to advance their career in this rewarding and interesting role by providing a high standard of professional support to the Director of the FMI advisory group, ensuring the delivery of the company goals and strategies.
Job Role:
Responsible for assisting the Director as well as other consultants to complete their work and assist with the smooth running of the organisation. This will include:
Interfacing with the wider organisation:
1. Strategic Insight: Proactively delve into company policies, strategies, and management structures. Understand the big picture to drive informed decisions.
2. Global Connections: Forge and nurture relationships with our offices both in the UK and abroad. Smooth operations depend on effective collaboration.
3. Central Hub: You’re the go-to source of information for FMI—internally and externally. Your knowledge keeps everyone informed and aligned.
4. Liaison with Support Functions: Assist the Director in managing interactions with other company functions. Your coordination ensures seamless processes.
5. System Updates: Keep the team in the loop regarding developments in company systems and procedures. Identify areas for improvement and drive positive change.
Providing direct support to the Director and general administration:
1. Office Management: Take charge of the day-to-day running of our Falmouth office. From coordinating schedules to handling logistics, you’ll keep things on track.
2. Correspondence Management: Be the gatekeeper! Efficiently distribute correspondence to and from the Director. Flag urgent matters and ensure timely follow-up.
3. Diary Mastery: The Director’s diary is your domain. Prioritize tasks, resolve conflicting priorities, and optimize time management.
4. Travel Coordination: Whether it’s international or domestic travel, you’ll handle it all. Visas, accommodations, and seamless arrangements—your expertise makes it happen.
5. Financial Oversight: Manage budgets, monitor payments, handle expense claims and keep things in check.
6. Project Support: Assist the Director and the wider team with various projects. From web-based research to document production and event planning, you’re the go-to resource.
7. Advisory Group Development: Contribute to the day-to-day running and growth of our Advisory Group. Your proactive approach ensures success.
Other Duties:
1. Occasional Travel: Be ready for short trips to other RHDHV offices. Your expertise may be needed elsewhere.
2. Adaptability: Fulfil any reasonable requests from your line manager within the scope of your role.
3. Safety and Well-Being: As a Fire Warden, First Aider, and mental health first aider, you’re our point of contact for the Tremough Innovation Centre (Falmouth Office).
