Hours per week: 37 Monday – Friday, 08:45- 17:00
Role Length: This opening assignment is for 1 month

The postholder will be required to assist in providing effective business and administrative support to key frontline services within the Children & Young People’s Services Directorate. This includes providing a range of administrative support, including coordinating/recording referrals whilst liaising with Police, Schools, and other professional agencies, and ensuring follow up actions are progressed. You will also be expected to maintain up to date accurate information on computerised records and systems to produce reports and documents in line with corporate standards.
The successful applicants will have excellent keyboard skills, proven minute taking skills and be able to prioritise their own workload, whilst working as part of a very busy team. Excellent communication and customer care skills are also essential. It is also important to note that you will be dealing with challenging information/incoming calls and Business Support Officers are expected to be emotionally resilient to be able to support the team efficiently.
Key Responsibilities:
Provide accurate, timely and comprehensive Business Support Work to Service Managers, Colleagues and Staff located in Service Teams throughout the Council.
Develop an understanding of the processes required to provide Business Support in accordance with the Council’s Corporate Standard adhering to the relevant quality standards and Council/Directorate Policies and Guidelines.
Organise own work on a daily basis and work unsupervised and/or as part of a team.
Undertake training opportunities to maintain or improve performance.
Maintain up to date accurate information on manual and computerised files, lists and records.
Produce e-mails, letters, reports and other documentation in line with corporate standards.
Input, update and maintain manual and computerised records/systems for internal and 3rd party systems.
Access and retrieve information from manual and computerised systems, manipulate/correct data and provide reports within agreed timescales.
Provide diary management of multiple diaries, ensuring that Service Managers and senior colleagues’ time is managed in an efficient and effective manner.
Filter and direct incoming queries from internal/external customers where they can’t be resolved at first point of contact and identify and redirect urgent/sensitive matters accordingly.
Qualifications:
C/4 or above in GCSE English or equivalent demonstrable equivalent experience
Experience:
Working in teamwork administration environment
Providing a high level of customer experience
Working both independently and as part of a team

Proven ability to use IT packages including standard Microsoft Office software
