We are looking for an enthusiastic, organised person to support the postgraduate team looking after the education of training doctors and consultants on the UHL site.
Minimum Requirements:
At least 6 months' admin experience in the NHS and minute-taking skills are required.
Main Duties of the Job:
* Provide a friendly, welcoming and efficient customer service to all doctors, staff and managers coming into the department and to all enquiries on the telephone.
* Ensure telephone enquiries are answered promptly and courteously. Document messages for colleagues where necessary.
* Ensure all office stationery supplies are ordered via the oracle system and housed in the correct locations.
* To provide an adhoc administrative service to the Assistant Medical Education Manager and the Senior Medical Education Manager.
* To work primarily in one area of undergraduate and postgraduate education, but provide support to the other team as required.
Job Responsibilities:
* Organising Medicine Grand Round weekly and ensuring a medical rep has been organised to cover lunchtime meetings when required.
* Assisting with coordinating foundation and IMT teaching programmes.
* Organising career taster weeks for Foundation doctors and ensuring appropriate documentation is completed and filed.
* Assisting with clinical observer placements.
* Processing all medical study leave episodes on Easy database for both consultants and junior medical staff. Document all details on the database and shared spreadsheet.
* Organising room bookings and catering for all postgraduate meetings including foundation/specialty faculty meetings.
* Taking minutes at meetings, then summarising, typing and circulating minutes.
* Assisting with the organisation of adhoc Regional Training Days and Specialist Registrar study days.
* Participating in undergraduates examinations in an invigilator role.
* Providing administrative assistance for courses and examinations including PACES, paediatric and simulation events.
* Establishing and maintaining new and/or existing e-filing systems.
* Assisting the Medical Education Officer wherever necessary with any other duties relevant to the post.
