Personal Assistant / Secretary

Latham & Bond HR are recruiting for our client, a well-established automotive manufacturing organization. We are looking for an experienced Personal Assistant/Secretary to provide high-level administrative and secretarial support to senior leadership. This role is well-suited to a proactive individual with strong organizational skills and experience in a legal environment.
Key Responsibilities
Executive Support:
* Provide direct administrative and PA support to senior leadership, ensuring smooth daily operations.
* Manage diaries, schedule appointments, and organize meetings, ensuring effective time management.
* Act as the first point of contact, handling correspondence, emails, and calls in a professional manner.
Meeting & Documentation Management:
* Prepare agendas, take accurate meeting minutes, and follow up on action points.
* Draft, proofread, and format reports, legal documents, presentations, and correspondence.
* Maintain organized records and filing systems, ensuring all documentation is up to date.
Travel & Event Coordination:
* Arrange and manage travel itineraries, including flights, hotels, and transportation.
* Coordinate business events, conferences, and team meetings as required.
Legal & Confidentiality Support:
* Work closely with the Head of Legal, handling confidential and sensitive documents with discretion.
* Assist with reviewing contracts, legal paperwork, and compliance documentation.
* Ensure all legal records and files are maintained and easily accessible when required.
Administrative & Office Management:
* Oversee general office administration and coordinate office supplies and resources.
* Support senior leadership with ad-hoc administrative duties to ensure efficient workflow.
* Handle expense reports, invoice processing, and budget tracking for the department.
Skills and Attributes
* Proven experience as a PA, Executive Assistant, or Legal Secretary.
* Legal sector experience (either working in a law firm or supporting a legal team) is highly desirable.
* Strong diary management, organizational, and prioritization skills.
* Excellent communication and interpersonal skills with a professional demeanor.
* High attention to detail, particularly in document preparation and proofreading.
* Ability to handle confidential information with utmost discretion.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems.
* Ability to work autonomously, take initiative, and problem-solve effectively.
