We are looking for a highly motivated and detail-oriented Technical Administrator to join our Exeter Highways Maintenance office. In this critical role, you will be providing essential support to ensure the smooth and efficient running of one of our key projects within the high-speed highway maintenance sector. What you'll be doing Road Space Booking: Coordinate and manage road space bookings for planned routine and major works using the National Highways NOMS database. You will work closely with the Road Space Coordinator to ensure that all necessary permits are in place and that disruptions to traffic are minimized. Depot & Office Support: Provide day-to-day support in the office, including reception duties and the management of visitor and staff requirements. You will also assist with booking hotels, arranging travel for the team, and coordinating various administrative tasks. Stock & Office Management: Monitor office supplies and equipment, ensuring that the team has the resources they need for daily operations. You'll handle ordering, manage stock levels, and organize services for the office such as cleaning, waste collection, and annual maintenance. Administrative Support: Provide efficient and reliable administrative support, including document control and filing of both electronic and paper records. Ensure accurate information management and comply with the contract’s documentation requirements. Database Administration: Administer and maintain various project databases such as the Connect Roads database, ensuring all records are up-to-date and meet necessary handback criteria. You will also support quality checking of project-related data entries to ensure compliance. Reporting & Documentation: Assist with the processing of key administrative paperwork, including incident reports, timesheets, leave requests, costs, invoices, and project reports. You will support the team in compiling various weekly and monthly reports that are essential for project tracking. Other Duties: Additional tasks may include typing minutes for meetings, photocopying, scanning, and assisting with general office duties as required. You will also act as the first point of contact for visitors, screening calls, and handling messages or inquiries. Who we're looking for We are looking for an individual who: Is highly motivated and proactive, with the ability to manage tasks independently and efficiently. Has excellent communication skills and is able to interact confidently with a wide range of stakeholders, both internally and externally. Possesses excellent interpersonal skills and thrives in a collaborative team environment while also being able to work independently when needed. Is organised and able to prioritize multiple tasks effectively, demonstrating excellent time management and attention to detail. Is reliable and professional, with a strong sense of responsibility and the ability to meet deadlines consistently. Is computer literate with proficiency in Microsoft Office and other project management software. Prior experience with databases and document management systems is beneficial.
