Operations Co-ordinator – Defence Division
Hours: 40 hours per week
Location: Office based in Milton Keynes
Salary: Range between £24,000 to £26,000 depending on experience
Reporting to: Operations Manager – Defence Division
Overview
Pertemps Medical is going through an exciting period of growth and change. We are seeking to add to our brilliant team to support our significant multiyear investment and expansion plans – building upon our strong ethos of patient safety, high clinical standards, robust team support, and sector-leading dynamism.
The Operations Co-Ordinator will play a crucial role in undertaking clerical and administrative support duties relating to the medical screening of Royal Navy and Royal Marines applications.
The role plays a vital part in the smooth-running of the application process of new recruits who wish to join the MoD.
The role will suit individuals who:
1. Have excellent communication skills, both written and oral.
2. Are highly organised, have the ability to multitask and work well under pressure.
3. Are able to prioritise a workload whilst providing a professional and positive service at all times.
4. Have strong IT skills and have the ability to learn quickly.
Key Responsibilities
1. Managing candidate records using Microsoft Office Suite and the Pertemps Internal Candidate Management system.
2. Liaising with applicants, Armed Forces Careers Officers and Medical Experts - answering queries and assisting candidates throughout the application process.
3. Discussing medical aspects of candidate’s application forms.
4. Interacting with colleagues and the management team.
5. Seeking guidance on specific cases from the management team or medical contacts when directed.
6. Interacting with third-party providers (e.g. GP practices) as part of the medical records process.
7. Postal management and scanning of medical records.
8. Co-ordination of medical assessments.
9. Answering the phone and responding to candidate queries.
10. Meeting deadlines and working to specific KPI’s.
11. Provision of reporting data from the internal candidate management system.
12. Ensuring accurate records are kept, and correct processes and policies are followed at all times.
Person Specification
1. Highly focused with prior experience in either a Healthcare or Administration setting.
2. You must be an excellent team player who is good at prioritising your own workload in order to achieve your KPI’s. You must be highly organised and enjoy working to tight deadlines.
3. You must have excellent IT and strong written and verbal communication skills.
4. Accuracy and excellent attention to detail are imperative.
5. Must be aware of how your own performance impacts the overall team performance.
6. Build rapport quickly with colleagues and contribute to a positive team spirit.
7. Excellent Customer Service skills - Creating the best possible experience for candidates and the end client.
8. Follow all business processes, policies and systems to deliver agreed customer service levels.
9. Stay calm under pressure.
10. Constantly seek to improve the way processes are run and delivered.
