We are seeking an organised, detail-oriented Facilities Co-ordinator to oversee the smooth functioning of our office operations. This role ensures that administrative tasks, office resources, and staff support are managed efficiently, creating a productive and positive work environment.Key ResponsibilitiesOffice Administration:Oversee day-to-day office operations and ensure the office environment is well-organised and fully equippedMaintain office supply inventory, ordering and restocking as neededManage incoming and outgoing correspondence, including mail, emails, and phone callsFacilities Management:Coordinate with vendors, service providers, and building management for office maintenance, repairs, and improvementsEnsure compliance with health and safety regulationsTeam Support:Serve as a liaison between employees and leadership for administrative mattersPlan and coordinate staff events, meetings, and celebrationsBudget and Financial Oversight:Track and manage office-related expenses, ensuring adherence to budget guidelinesCoordinate with the finance team for paymentsTechnology and Systems Management:Coordinate with IT support for the maintenance of office hardware, software, and systemsEnsure office technology is functioning and accessible to all team membersSkills & Qualifications:Ideally proven experience as an Office Manager, Facilities Coordinator, or a similar role would be beneficialExcellent organisational and multitasking abilitiesStrong written and verbal communication skillsProficiency in office software (e.g., MS Office,Familiarity with basic HR practices is a plusKnowledge of office management responsibilities, systems, and proceduresAbility to handle confidential information with discretionWorking Hours and Environment:This is a part time role with hours between Monday to Friday 9.30am through to 2.30pm - This is a hybrid role which requires a need to be in-office on a Wednesday and Thursday, with occasional flexibility based on organisational needs.The successful candidate must hold a full, clean driving licence and have access to their own vehicle, as travel between locations may be required.
