Job Title: Governance and Executive Support Officer

Job Purpose:
The Governance and Executive Support Officer will play an essential role in maintaining high standards of governance and executive efficiency. This role involves providing support to the Executive Team and Board, ensuring compliance with governance best practices and regulatory requirements, and facilitating smooth communication and decision-making processes at the highest level.
Key Responsibilities:
1. Governance Support:
* Coordinate and facilitate Board and committee meetings, including scheduling, preparing agendas, distributing board packs, and taking accurate minutes.
* Ensure the organization’s governance policies, procedures, and statutory obligations are reviewed and adhered to.
* Assist in implementing and monitoring governance frameworks, focusing on risk management and compliance with relevant regulations.
* Maintain and manage governance records, ensuring that all Board decisions and policies are documented and easily accessible.
* Serve as the main point of contact between the Board, Executive Team, and external stakeholders on governance-related matters.
1. Executive Support:
* Provide high-level administrative support to the CEO and Executive Team.
* Draft reports, presentations, and briefings for Board meetings and external parties.
* Assist the Executive Team in preparing strategic and operational plans.
1. Compliance and Reporting:
* Ensure that the organization meets all relevant regulatory and statutory requirements, including those set by regulatory bodies.
* Maintain statutory registers and governance documentation.
* Assist in preparing reports, compliance documents, and submissions for regulatory bodies and funding organizations.
1. Stakeholder Engagement:
* Act as the main liaison for Board members, executives, and external partners, ensuring effective communication.
* Support the organization of events such as Board meetings, annual general meetings (AGMs), and strategic planning sessions.
* Manage governance-related communications with professionalism and efficiency.
1. General Duties:
* Support special projects and initiatives aligned with the organization’s strategic goals.
* Ensure confidentiality and discretion when handling sensitive information.
* Continuously improve governance and administrative processes to enhance organizational effectiveness.
Person Specification
Essential Criteria
Qualifications & Experience:
* Proven experience in governance, executive support, or similar administrative roles.
* Knowledge of corporate governance principles, compliance requirements, and best practices.
* Experience in supporting senior executives or Boards, preferably in an educational or corporate environment.
Skills & Competencies:
* Excellent organizational and time management skills.
* Strong written and verbal communication abilities, including report writing and minute-taking.
* High attention to detail and accuracy in documentation and governance processes.
* Ability to handle confidential information with professionalism.
* Proficiency in Microsoft Office Suite and governance-related software/tools.
Desirable Criteria
* Experience within the education or creative industries.
