Private Executive Assistant
Location: Hertfordshire, Full-Time, Hybrid
Salary: £50,000 - £60,000
Our client, a dynamic entrepreneur operating withing the pharma and real estate sectors, is seeking an experienced and highly organised Private Executive Assistant to fully support him and be his number 2. The successful candidate will be responsible for providing high-level administrative support, managing complex schedules, coordinating communication across multiple time zones and assisting with various business needs. This is a hybrid role that will require two days in the office and three days working remotely. The stunning offices are located in Hertfordshire and travels frequently to the Netherlands so there might be the very occasional need to join him for meetings and events as required.
Key responsibilities:
Executive Support:
* Calendar and Schedule Management: Organise and manage the entrepreneur’s busy calendar, including meetings, appointments and travel arrangements. Prioritise and ensure seamless scheduling across the pharmaceutical and real estate sectors.
* Travel Coordination: Arrange both domestic and international travel, including flights, accommodations, transportation and itineraries. Ensure travel arrangements align with business needs and personal preferences.
* Communication Management: Act as the primary point of contact for emails, phone calls and other forms of communication. Prioritise, respond and manage correspondence, maintaining confidentiality and professionalism at all times.
* Project Management Assistance: Support on projects across the pharmaceutical and real estate sectors by coordinating timelines, resources, and tasks. Ensure deadlines are met and work with teams to track progress.
* Document Preparation: Draft, proofread and format documents, presentations and reports. Ensure all paperwork is accurately filed and easily accessible.
* Financial Management Support: Assist with tracking expenses, processing invoices and managing financial documentation. Work with the finance team to ensure smooth financial operations.
* Confidentiality & Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism.
Experience:
Proven 5 years + experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role, ideally within the pharmaceutical or real estate sectors.
Skills
* Strong organisational skills and the ability to manage multiple priorities effectively.
* Exceptional communication skills, both written and verbal.
* High level of attention to detail and problem-solving ability.
* Ability to work independently, with minimal supervision, while managing competing priorities.
* Flexibility to work across different time zones (particularly UK and Netherlands).
* Fluent in English (additional language skills in Dutch or other European languages are a plus).
* A driver’s license is a plus, with occasional travel required.
