Travel & Expenses Administrator Hybrid – attached to our Solihull office Full Time, 6-month FTC Salary - £29,932 per annum Here at Serco, we’re looking for a Travel & Expense Administrator to join our team and help support our VAT reclaim and invoice processing operations. If you have a proactive approach to process improvement and are proficient in Excel, this could be the ideal opportunity for you. In this role, you will work closely with the Global Travel and Expense Manager to manage invoice audits, VAT compliance, and operational activities related to travel and expenses. You'll be responsible for liaising with hotels and suppliers, ensuring accurate invoice processing, and identifying opportunities to improve processes. As part of this you will: Invoice Audit and Validation: Conduct thorough audits of received invoices to verify legitimacy and ensure accurate linkage to corresponding transactions. Invoice Processing and Reconciliation: Methodically process invoices, ensuring precise alignment of line-item details with each transaction, and reconcile discrepancies. Supplier Communication and Invoice Retrieval: Proactively reach out to suppliers via email and phone to request invoices when automated systems fall short, ensuring compliance with VAT reclaim requirements. Conferma System Utilisation: Use the Conferma system for invoice retrieval, expense management, travel-related payment processing, and VAT reclaim reconciliation. Data Analysis and Reporting: Create and maintain detailed reports in Excel, including calculations, summarisation, and identifying duplicate entries, to ensure data accuracy for VAT reclaims. Additionally, to demonstrate success rates of invoice reconciliation. Process Improvement and Optimisation: Identify opportunities for process improvements that enhance efficiency, compliance, and cost-effectiveness within the invoice and expense management workflow. Risk Mitigation: Identify potential risk areas and work with management to develop and implement strategies to mitigate them. Stakeholder Issue Resolution: Take ownership of customer, partner, or provider issues, ensuring timely resolution through effective communication with internal teams and external vendors. Support: Supporting the Global Travel & Expense Manager with travel & expense related activities and projects. What you’ll need to do the role: Experience in travel, expenses, or finance administration (knowledge of Conferma is desirable but not required). Strong communication skills and confidence in contacting hotels and vendors. Proficiency in Excel (pivot tables, VLOOKUPs, and data analysis skills preferred). Innovative mindset with a proven ability to problem-solve and improve processes. Self-motivated and proactive, with the ability to work independently.
