Job Title: People Operations Administrator
Location: Bolton
Hours: Monday to Friday, 9:00am - 5:00pm
Salary: Up to £25,000 per annum
Reports to: People Admin and Systems Manager

JOB PURPOSE:
As part of the People Services function, the People Operations Administrators act as a first
point of contact for People Services related enquiries.
The Team provides an efficient and comprehensive Administration service ensuring all enquiries are treated professionally and to meet the needs of the Customers.
KEY RESPONSIBILITIES:
* Delivery of a proactive, customer focused, robust, and competent Admin Service
* Placing customer satisfaction at the heart of each task, acting with a sense of urgency and prioritizing tasks accurately and efficiently
* Providing appropriate advice and guidance to colleagues HR Operational matters and escalating appropriately when more complex advice, support and/or guidance is required
* Work collaboratively as part of the wider People Services Team, undertaking other Admin tasks as required
* Responding in a timely manner to queries received either verbally or in writing and sign posting onwards as appropriate
* Support colleagues, providing advice and guidance as required e.g., employment terms & conditions
* Setting up and maintenance of personnel files for each colleague, ensuring all relevant documentation is filed appropriately, securely, and confidentially on our HR System
* Provide Admin support (e.g., answering customer queries via phone, Microsoft Teams, and email) and general assistance to the People Services Team on a range of activities including business change projects
* Undertake People Service Admin activities linked to leavers (including references), sickness, absence, unpaid leave, statutory leave, general HR Admin, including professional upkeep of our Single Central Registers (SCR), updating and maintenance of our People Systems
* Processing of personal and contractual changes on HR systems, issuing letters and contracts related to contractual changes as required in a timely and accurate manner
* Working as a Team to complete daily report tasks including, task lists, manager, and employee requests
* Participate in project activities, continuous improvement programmes and other tasks required within the remit of the post holder’s skills and experience
* Work in accordance with the Company Policies and Procedures with reference to Safeguarding, Adult and Child Protection, GDPR etc
Experience, Skills & Qualifications:
* Experience of working within a customer service focused team environment
* Excellent HR Administration skills
* HR Admin experience
* Resilient, able to manage competing priorities, pragmatic and proactive
* A positive attitude and friendly collaborative approach
* The ability to remain calm under pressure
* Solid experience as an HR generalist with specific focus on procedures, policies, and task management
* Excellent people skills – an excellent communicator, influencer and relationship builder who gains trust through delivering good quality, timely work
* Proven organisational skills
* A significant level of IT literacy is required with knowledge of HR systems and databases
* Attention to detail is essential as is a ‘can-do’ attitude and willingness to be flexible when required
* Used to working to extremely tight deadlines
* An ability to uphold the standards of OFG and to be a positive example to other employees
