Your Challenge Penguin Random House are looking for a Programme Administrator to take responsibility for providing a range of administrative support to the Programme Manager, ensuring the timely, high-quality and effective delivery of these functions, with a view to ensuring the efficient administration and delivery of the Programme. Key Responsibilities: The post holder will contribute to the achievement of the deliverables, performance targets, aims and objectives of the Programme through the following; • Providing comprehensive and efficient administrative support services to the Programme and specifically the Programme Management Team. • Providing such other administrative and office support as may be required from time to time. • To provide logistical support to the Programme including: • Arranging meetings, agendas, booking meeting rooms, resources, refreshments • Costing and booking travel arrangements where required • Consolidating returns and reports as required • To provide administrative support, including; answering phones, distributing post, word processing, preparation of PowerPoint presentations, highlight reports • Drafting of letters, electronic communications, minute-taking, setting up and maintaining excel spreadsheets, data input into databases, file management (including sharepoint), diary management, photocopying, faxing, expense processing and any other related duty • To act as point of contact when Programme Manager or Director is not available • To record, filter, disseminate all communications relating to the Programme • To organise meetings on behalf of the Programme Management Team and to attend these meetings where required to record minutes, manage administration, assist with reports, etc. Your Profile We’re looking for someone with: • Excellent organisational skills with the ability to prioritise and proactively manage workloads • Excellent verbal and written communication skills, plus the ability to effectively network • Good knowledge of SharePoint • Ability to write coherent and succinct status/ progress reports and minutes • Strong relationship building skills • Ability to Influence, facilitate and resolve in a complex environment in both supported and independent situations • Familiar with standard project / programme management concepts and processes • Familiar with standard project / programme management tools, including but not limited to MS Word, Outlook, Excel, Project and Visio • Proven ability to support the management and successful delivery of a range of projects in terms of size and content • Open minded and able to challenge existing processes Posting Notes | Glasgow | Glasgow City (GB-GLG) | United Kingdom | PRH_UK
