Description To manage the site operations in an efficient and professional manner ensuring all targets are met without loss in performance to the business, across a varying shift patterns within the site management structure. To deputise for the Transport Manager as required, including covering holidays and other absence Oversee and if required organise shift operations, including fleet and facilities, and people management. To be able to effectively communicate at both group and one-to-one level to direct employees, internal departments, and with outside service providers Undertake meetings following company Disciplinary and grievance processes, enforcing site rules, and ensure safe working practices are undertaken To work with the frontline management team, taking a lead in representing the brand, inspiring and motivating the site team. To engage staff members within the company culture, so that the site experience low levels of staff churn. To effectively manage the customers services delivery team ensuring all orders are completed timely and exceeding the customer’s expectations. Roles and Responsibilities Staff Management – To manage the people on the site in line with all company policy, procedures, and ensure that all training required to successfully complete the role is undertaken. Dealing with staff issues as they arise in a professional manner and in accordance with company guidelines. To effectively manage the LGV operation by ensuring that the team are fulfilling their duties and delivering high level of customer services both to internal and external customers. Work with the Recruitment Team to undertake recruitment of new staff members, and support the team, to minimise staff churn and ensure all processes are followed for staff leavers. Work with the Training Team to help train and integrate new members of staff, and ensuring that any remedial training of staff is undertaken to ensure that they can comply with all H&S, and training recruitments. Ensure that site events and forums are completed and communication with outside providers for these are undertaken Manage, review, coach and mentor site managers as appropriate to ensure that the management team, have the required skills and expertise required, and using them in a pro-active manner. Engage the on-site team, to build a positive culture at the site, which will improve morale, and minimize staff churn, and promote a goal of service excellence in the team and promote a positive working environment. Carry out performance and absence management processes in line with company HR processes. Shift Management - To effectively manage the LGV team ensuring that all LGV runs are completed in a cost efficient manner while exceeding the customer’s expectations. To ensure the smooth running of the site on shift and future shifts. Manage customer issues and communicate to the team. To ensure the required resources are available to operate the site, within the restrictions of the required budget. Ensure the relevant teams are operated correctly and in an effective manner. Responsibility to run the operation the in absence of the Transport Manager. Identify issues; develop creative and practical solutions to problems. Ensure driving standards, and risk reduction schemes are implemented and targets are achieved (including Smartdrive and incentive schemes) Review KPIs for the site, to ensure that site targets are met, and ensure abnormal results are investigated and remedial actions are undertaken. Fleet Operation and other Facilities – To ensure that all site facilities, vehicles and other assets are maintained in line with all company policy, and Legislative requirements, specifically the requirements of the company operator’s licence. Ensure, in conjunction with the Team Manager responsible for compliance, that all fleet and other assets are maintained in line with company policy and processes. To operate the fleet in a safe and legal condition at all times. Maintain a sound understanding of transport law and legislation, and hold a Certificate of Professional Competence (minimum National) and be of ‘good repute’. Maintain daily contact with vehicle service providers to ensure legal compliance. To maintain required vehicle maintenance records and planners. Ensure that regular internal audits are carried out of all service, maintenance and inspection, including any other relevant documentation. To maintain the standards of the company Operators licence including drivers hours, working time directive and vehicle maintenance. Ensure, in conjunction with the company’s building technology department, that all facilities are maintained in a safe manner and compliant with all relevant legislation. Manage all visitors, contractors and service providers in line with the company-approved process and procedures. H&S Management - Are responsible to the Transport Manager for the day to day implementation of the Health and Safety policy and shall be Responsibility for H&S management and risk assessments Be responsible for the application of the Company’s Health and Safety Policy together with compliance with legislation applying to their site. Seek and obtain an understanding of the health and safety legislation relevant to the business division. Ensure that safe systems of work are operated within their department and that such systems are regularly reviewed, particularly after a change or addition in working practices, or the introduction of new or modified equipment. Ensure that plant, equipment, personal protective equipment function correctly and safely and that details of any hazards, safety information and health and safety instructions are communicated fully to personnel. Ensure that any details of any hazards, safety information and safe systems of work associated with substances that are used within the department are used fully. Identify and where necessary arrange adequate training for personnel so that such personnel are conversant with the work they are required to do thus enabling them to work safely. Ensure that personnel are aware of any emergency procedures applicable to the Site. Ensure that all defects in plant/equipment or the workplace that are reported are remedied as soon as reasonably practicable. Enforce all safety rules and the wearing of all personal protective equipment. Ensure that all accidents are investigated thoroughly and that any recommendations to prevent a re-occurrence are implemented as soon as reasonably practicable. Ensure that adequate supervision exists at all times particularly where young and/or inexperienced personnel are concerned in relation to work involving potentially dangerous equipment, materials and substances.
